Position Overview

We’re seeking an experienced People Operations Coordinator to join the Valimail team. In this role, you will ensure our team members have a phenomenal experience from their first interview to their last day at Valimail. Your primary responsibilities will include core HR administrative activities such as maintaining accurate and complete employee records and process documentation. In addition to core HR responsibilities, you will also be responsible for fractional duties such as talent acquisition coordination, management of systems for T&E, and delivering employee recognition programs. This is a great opportunity for an early career HR or People Operations Coordinator looking to broaden their skills in a 100% remote environment.

What You'll Be Doing: 

People Ops Coordination (60-70%)

  • Provide daily coordinator support, such as updating employee records in Google Suite and responding to Jira tickets, in a timely and accurate fashion.
  • Perform customer service activities by answering employee questions and requests with clarity and compassion. 
  • Complete core onboarding tasks and paperwork for new hires, such as creating new hire profiles in our HRIS and payroll systems and completing I-9 attestations.
  • Write user-friendly documentation for People Operations processes and procedures, including knowledge articles in our wiki, Confluence, for employee and manager use.
  • Participate in quarterly auditing of HR systems (TriNet, Lattice, Pingboard, etc.) to verify personnel data accuracy, and work with other stakeholders (Finance, IT, etc.) to update systems accordingly.
  • Coordinate and deliver employee recognition programs and events, including arranging milestone swag and supporting company celebrations.
  • Prepare standard communications and letters to employees going on leave, departing the company, or experiencing other significant changes.
  • Work closely with your manager, the People Business Partner, to support ongoing people operations projects such as improving Valimail’s onboarding experience and training materials.
  • Contribute to other people-related projects and activities as needed.

Talent Acquisition Coordination (~30%)

  • Schedule candidate interviews and calls. 
  • Coordinate and schedule job kickoff and debrief meetings.
  • Monitor candidate feedback and communications to move candidates through the process in a timely manner.
  • Communicate with candidates to request availability, manage expectations, and move them though the process in a timely and professional manner.
  • Work closely with the Senior Technical Recruiter and hiring managers to ensure a smooth, clear, and complete process.

Travel and Expense Support (<10%)

  • Review travel requests against company travel and expense policy and approve compliant requests.
  • Administer travel system, TravelPerk, in partnership with the Finance and Accounting team.
  • Monitor compliance with vaccination and safety requirements for in-person meetings.

About You: 

  • One to three years of experience in the Human Resources field.
  • Proven customer service skills. A background in prior customer service roles is a plus!
  • High standards of professionalism and discretion, including experience handling sensitive or confidential information.
  • Experience with HRIS tools such as TriNet, BambooHR, or Pingboard.
  • Meticulous attention to detail.

Bonus Points:

  • Bachelor’s degree in Human Resources, Organizational Psychology, or related field.
  • HR certifications such as PHR, aPHR, or SHRM-CP.
  • Experience with talent acquisition coordination. 
  • Strong Excel skills for generating reports and presenting data.
  • Working knowledge of labor law and employment law compliance practices.
