The People Operations Coordinator is responsible for many business critical processes within GumGumās People team (Human Resources). The role provides day-to-day support to Global team members and executes on the operations function across HRIS administration/reporting, heavy auditing, and onboarding/offboarding.
This role also contributes to the continued improvement of our global HR infrastructure project, including the primary responsibility of data management and administrative duties to scale our people strategy and solutions. This role reports to the Director, People Operations based out of headquarters in the U.S.Ā
Ā Note: GumGum currently operates in a āwork from homeā virtual environment with sporadic opportunities for in-person business and morale events. There will not be any requirement to go into the office on a daily basis moving forward. GumGum is only open to hiring candidates in the Los Angele area, as this position will need office-presence twice a month.
What You'll Achieve
- HRIS (ADP), Reporting & Data Management
- Execute on ADP data management, reporting, audit, calculation, and controls
- Actively and frequently research, resolve, and document data discrepancies
- Prepare, modify, and distribute reports to stakeholders as required
- Maintaining systems administration documentation and user guides on an ongoing basis
- Maintain accurate people data in documents, systems and employee files for the employee lifecycle changes and updates (new hire, transfer, promotion, performance, compensation, and separations administration), and coordinate with Finance and Payroll
- Accurately process and track all global changes to employee data in HRIS and other HR databasesĀ
- Audit transmitted data from ADP to other HR systems as required
- People Operations Support
- Respond to all general inbound team member inquiries to PeopleOps inbox in a timely and empathetic manner
- Complete all employment verification requests with confidentiality and timeliness
- Update PeopleOps related forms and templates as needed
- Process incoming PeopleOps mail twice a month at the Santa Monica officeĀ
- Prepare correspondence such as letters, memorandums, and reports, as requested
- Employee Changes, On-boarding & Separations
- Manage ADP and other systems related on-boarding/off-boarding activities for new hires/separations including the collection of all required documents for North American Employees
- Manage sensitive and confidential matters such as the security of information data and files; accountable for new hire file creation, including support for collecting new hire paperwork, maintenance of I-9 forms, and creating employee files
- Manage all related work flows
Skills You'll Bring
- At least 2 years of experience in HR Administration/Coordination rolesĀ
- Previous experience with HRIS, and general HR administrationĀ
- Ability to prioritize workload, balance multiple tasks at once, and solid attention to detail
- Ability to plan and anticipate issues and delays before critical deadlines are due
- Proficiency in Google applications specifically with Sheets, Slides, and Docs
- Strong verbal and written communication skills
- Extremely organized
- Ability to thrive in an exceptionally fast-paced environment
- Possess a client service approach and focusĀ
- Resourceful: able to research potential solutions and overcome obstacles to get projects to the finish line
- An innovative problem solver who is proactive and loves to get things done autonomously
