About the role.
Reporting into the Head of People, the People Operations Coordinator provides key back-office support for the People Team (aka Human Resources). In this role, you will be responsible for providing administrative support throughout the employee life cycle, as well as being available as a first layer of support to employees with questions regarding People Team systems and processes. You will also be accountable for managing all incoming and outgoing mail, packages and equipment for the Jabra Hearing internal organization. In addition, as a member of the People Team, you will have the opportunity to contribute to other team initiatives, such as employee engagement activities and learning and development efforts.
What you’ll do.
- HR, Benefits & Payroll Admin Support – 60%
- Execute employee life cycle events; communicate with new hires and existing employees, as well as cross-functional teams, to ensure smooth transitions, process I-9s and other required forms, maintain employee files and track progress in team systems, and complete research regarding state- and local-level requirements, as needed
- Process changes in our HR ecosystem in an accurate and timely manner, in accordance with our standard operating procedures; update SOPs to reflect changes and process improvements identified
- Monitor approval processes for submitted changes; answer questions, nudge approvers & escalate issues
- Answer employee questions regarding People Team systems and processes, exercising strong judgment in escalating when appropriate
- Provide support to Head of People and People Business Partner with timecard and payroll management tasks
- General Admin Support – 30%
- Review and track incoming mail; triage to the appropriate department and maintain physical files, as needed
- Maintain accurate records of available company equipment and swag; coordinate the shipping and receiving of company equipment and swag to new hires, existing employees, departing employees and others
- Support in the creation and maintenance of department assets, including weekly All Hands decks, company Wiki pages, employee communications, how-to guides, and other documents
- Provide logistical support for onsites/offsites and team events, including coordinating schedules, making reservations, & submitting expenses
- Other People Team Initiatives – 10%
- Contribute to ideating and executing other department initiatives, such as monthly company events, DEIB efforts, and learning & development programming
What you’ll bring.
- 3 - 5 years experience in an administrative role (People/HR, office or executive admin)
- Ability to work in-person at our parent company’s Bloomington, MN location Mon - Fri, 8a - 5p Central or 8:30a - 5:30p Central
- Impeccable attention to detail and organizational skills; able to assess existing processes critically and make suggestions for improvement
- Strong self-management skills; ability to prioritize tasks and work against deadlines
- Effective written & verbal communicator
- Solid sense of judgment; trustworthy with confidential information and can reliably identify when a task requires escalation (outside of policy/process, greater complexity, etc.)
