People Operations Specialist - Hybrid

The People Operations Specialist will assist in the daily operational and administrative activities of the People department. You will assist with the administration of all Company policies, procedures, and programs. In this role, you will deliver a seamless and positive employee experience by responding to inquiries and requests through timely, accurate and professional support and appropriate resources. Your colleagues and will rely on your exceptional communication, attention to detail, and organizational skills to manage multiple priorities in a fast-paced, high-volume, and dynamic work environment.This role will be based in our Chicago office and be required to be in-office at least twice a week on Tuesdays and Thursdays.

 How you’ll contribute

  • Provide first level, administrative support to our employees including HRIS, benefits, and general HR inquiries.
  • Support the People team in processing employment changes throughout the employee lifecycle, including compensation/promotion changes, data quality check, document generation and management.
  • US benefits administration including vendor/third party communications, new vendor implementations, annual audit and compliance reporting, on-going data and invoice auditing, enrollment management (new hire, open enrollment, life events), COBRA and leave administration.
  • Be the primary point of contact for all office vendor relationships (ex: Cintas, Crafty, Kastle, SwagUp) Coordinate office deliveries and ensure the office is stocked with all essential supplies.
  • Maintain internal resource documentation and intranet publishing, including benefit plan, policy, and compliance updates.
  • Create and maintain information within the employee-facing Notion Site 
  • Manage internal and external employment verification requests and provide data for unemployment claims.
  • Manage onboarding process: Send offer letters, facilitate new hire’s first day and orientation (including benefits presentations), kick off and manage virtual onboarding program, process all new hire paperwork, partner with hiring managers and IT team, manage communications, process I-9s, create and monitor Namely profiles.
  • Manage offboarding process: Provide termination support to HR Business Partners (HRBPs), send separation documents, process severance agreements, partner with IT team and managers on offboarding tasks, coordinate with termed employees on outstanding items, and perform backend Namely and file management.
  • Support the recruiting process: 
    • Support the hiring process for our open positions through opening new Job Requisitions and coordinating candidate interviews with the hiring teams as needed. 
  • Supporting additional People projects and programs as requested.

What you need:

  • 3+ years of experience in people operations or human resources, with a speciality in benefits administration
  • Strong attention to detail and ability to manage multiple projects at the same time
  • Experience managing HRIS, ATS, and company sites
  • Familiarity with general HR compliance and standards
  • Ability to work independently to complete tasks, take initiative by identifying challenges and proposing solutions
