Post-Closing Team Lead

Classification: Exempt

Reports to: Loan Operations Manager

Location: On-site - Operations Center in Meridian, MS

Summary/Objective

The Post-Closing Team Lead is primarily responsible for the day-to day management of all Post-Closing functions.

Primary Functions

1. Day to Day Management of the following functions:

  • Booking and Funding of all closed loans - Ensures accuracy and timeliness of all information loaded to the bank's core system and of all vendor bill payments.
  • Compliance and Loan Review - Review of closed loan files to verify loan was properly signed, dated, and closed in compliance with all applicable regulations and bank practices.
  • Tracking - Accurate and timely loading of tracking, along with maintenance and deletion of tracking items upon satisfaction of required documentation.
  • Imaging - Responsible for quality imaging of 100% of all loan documentation received by Post-Closing, as well as monitoring to ensure all needed documentation has been received by Post-Closing.
  • Lien Perfection & Cancellation - Proper filing of all titles and UCC's, recording of all Deeds of Trust, Mortgages, and Assignments of Rent, and release of each upon payoff of loans and receipt of approval from lending authority.
  • Note Retention - Ensure receipt of all original Notes, properly file in vault, pull paid out Notes according to bank guidelines, and periodically audit for compliance.
  • Consumer Adverse Actions - Timely review of adverse files, along with issuance of adverse action letters.
  • Help Desk - Ensure that all tickets assigned to the Post-Closing team are handled timely and accurately.

2. Management of Post-Closing staff - Maintain all ADP records for the Post-Closing team, including time cards, time off requests, etc.; complete employee performance evaluations.

3. Hires, develops, trains, and maintains a dynamic team to ensure all operational processes are followed.

4. Ability to develop, mentor, and manage staff, including motivating, coaching, and counseling, while adhering to the Bank's Vision, Core Competencies, and Moments of Truth.

5. Proper reporting of violations and exceptions to operations staff, lenders, and/or management.

6. Monthly, quarterly, and annual reporting of Post-Closing functions on Loan Operations Scorecard.

7. Conduct various audits and reviews to ensure department procedures are efficient, accurate, and achieving desired results.

Secondary Functions

Monitor and assist in developing enhanced systems and procedures training for staff.

Work Environment

This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, and fax machines.

Physical Demands

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.

While performing the duties of this job, the employee is regularly required to talk or hear. This is a largely sedentary role, requiring use of typical office equipment such as a computer and phone; however, occasional bending, stooping, and stretching may be required as well as the ability to lift up to 10 pounds. The employee frequently is required to use hands to finger, handle, or feel and reach with hands and arms.

Specific vision abilities required by this job include close vision and ability to adjust focus.

Position Type/Expected Hours of Work

This is a full-time position. Days and hours of work are Monday through Friday, 8:00 a.m. to 5:00 p.m. Work outside of this schedule may be required as job duties demand.

Travel

Travel is not expected for this position.

Required Education and Experience

  1. High School Graduate or GED and either Associate's Degree or 4 years of related experience.
  2. Ability to analyze and calculate figures in order to resolve loan transactions issues.
  3. Capacity to identify potential problems quickly and find effective resolutions.
  4. Able to balance team and individual responsibilities while promoting energy, positive attitudes and building morale.
  5. Ability to effectively prioritize tasks and maintain order.
  6. High degree of accuracy and attention to detail.
  7. Excellent oral and written communication skills.
  8. Capable of establishing and maintaining effective work relationships, both internally and externally.
  9. Working knowledge of Microsoft Office products, specifically Word and Excel.

Preferred Education and Experience

  1. Bachelor's Degree or more than 5 years of related experience.
  2. Management experience
  3. Industry knowledge and experience with an understanding of loan operations, policies, procedures and regulations related to commercial and consumer banking.
