Principal - Business Operations Administration
Job Description
The role includes oversight of regional internal project management; real estate and workspace management; procurement management; compliance; logistics, planning and internal event management; travel management; onboarding; support to executives; management of shared resource groups and provision of non-financial business data. The role is focused on North America, although has regional dimensions - ensuring effective operation of some of these services across the Americas - and will be delivered through both directly accountable resources as well as the coordination of related resource groups. The Principal, Business Operations will play a crucial role in the rapid and scalable growth of Control Risks' business in the Americas.
Role tasks and responsibilities:
General management and regional project management
- Direct line manager of Lead Office Manager, who manages a team of three Office Managers across the United States
- Business Operations and Administration representative on regional operations committee
- Regional change or large internal project management (e.g. implementation of workspace booking system; transition to "future of work" etc.)
Real estate and workspace management
- Oversee maintenance of office environments
- Manage office inventories
- Coordinate IT/workstation equipment
- Project manage office moves
Procurement management
- Contractor and vendor onboarding
- Management of purchase orders
- Manage procurement of shared services
- Application of procurement policies
Oversight of compliance management
- Oversight of subcontractor and vendor screening
- Maintenance of third party risk management platform
- Support response to audits
- Manage HSE compliance
Logistics, planning and internal event management
- Coordination of locations and resources for regional internal events
- Logistics for training courses
Travel management
- Principal owner of relationship with travel management providers
- User group maintenance
- Travel data steward
Onboarding
- Help project manage a seamless end-to-end Joiners, Movers and Leavers experience
- Manage equipment pipeline
- Coordination of basic onboarding/first 60 days
- Basic systems tutorial and support
Support to executives
- Recruitment and management of Executive Assistants and Office Managers
- Coordination of Executive Assistant and Office Manager resources to maximize productivity
Management of shared resource groups
- Resource management
- Training program schedule
- Onboarding and issues escalation
Provision of non-financial data
- T&E compliance
- Travel providers/patterns
- Office infrastructure/resource usage
Requirements
Knowledge and experience:
- Thorough knowledge of Professional Services Firm (PSF) business processes and systems (Microsoft D365, etc.) built up over at least 7 years of experience working in PSF or services sector.
- Proven ability to lead and influence across a wide range of internal and client stakeholders
- Outstanding communications skills
- Performance and customer service-driven, with a rigorous and accountable approach
- Drive, energy and personality to galvanize activity in support of the business
- Self-motivated with a passion to see Control Risks achieve growth and scale
Qualifications and specialist skills:
- Highly proficient user of Microsoft business tools (Microsoft D365, MS Word, Excel etc.)
