Ad Operations Print Specialist Â
Location: CincinnatiÂ
Hybrid Schedule: 3 days in office / 2 days at home weeklyÂ
Travel Requirements: no standard obligations Â
Job Summary Â
The Ad Operations Print Specialist is responsible for successful coordination of printing and distributing program materials, working with internal and external partners to ensure contractual obligations are met, and providing occasional support to the digital publish team. Primary duties will include collaboration with internal teams to understand contract deliverables and print requirements, coordination of the production of print materials with the Print team, coordination of distribution of materials with the Fulfillment team, and coordination with the IT team to have necessary data loaded into the database. Tasks must be completed with great attention to detail to ensure materials are sent to the correct target offices, while meeting established deadlines. Budgets will be forecast, updated based on changes, and reviewed with Finance monthly.Â
This individual will have strong attention to detail, be flexible, be able to manage constantly changing deadlines/requirements, in a fast-paced environment. The successful candidate will monitor and track changes for the print programs, including creative changes, targeting changes or other changes in program delivery. The Ad Operations Print Specialist contributes to the successful deployment of print programs working collaboratively across internal departments, and with external partners, to fulfill contract obligations.Â
What You’ll Do Â
- Work within Excel, JIRA and in-house database to ensure proper tracking of tasks, by program or project.Â
- Have strong skills within Excel: use of vlookups, deduping, concatenations, etc. to manually prepare data for shipments. Excel also utilized for preparation of data for third-party auditor and budget management.Â
- Ongoing communication with internal Client Success Managers to ensure continued alignment on program expectations.Â
- Ongoing communication with internal Creative, Print and Fulfillment teams to ensure successful print and distribution of materials, and expenses.Â
- Review and understand all contract obligations as it relates to execution of print programs.Â
- Adjust priorities daily based on constantly evolving deadlines to ensure distribution deadlines are met.Â
- Be able to plan and be proactive in ensuring compliance with out-of-market dates, changes in creative or changes in timing.Â
- Manage budgets for planned and unplanned distributions.Â
- Ensure process adherence and identify opportunities for process improvement.Â
- Attend weekly status meetings for awareness of new campaigns or changes to existing campaigns.Â
- Provide occasional support to the Ad Operations Digital Publish team by performing quality checks of digital campaigns, and/or other tasks when capacity permits.Â
What We Need Â
- Bachelor’s Degree with 2-4 years experience in Print Production/Print Material DistributionÂ
- Strong project management skillsÂ
- Exceptional organizational skills and ability to juggle competing objectives, adapting easily to changing prioritiesÂ
- Consistent ability to craft clear, grammatically correct, and professional business communicationÂ
- Focused and results oriented – consistent ability to deliver by deadlinesÂ
- Budget experience to ensure consistent alignment with FinanceÂ
