Job Description

The Procurement Contract Coordinator will monitor and maintain our contract database to support the growth and development of WelbeHealth. The Contract Coordinator collaborates effectively with colleagues, stakeholders, and external parties to manage the contracting and implementation process with vendor contracts while promoting and adhering to the WelbeHealth values, team culture and mission.

Essential Job Duties

  • Assist in maintaining the contract database with the Filevine/Outlaw contract management program, updating forms/templates, acquiring signatures, calendar key meetings/report dates, and handling record retrieval.
  • Assist with managing the contract process by interfacing with various internal business groups (Finance, Compliance, IT & S, Corporate, Legal, etc..) and that of the vendor. This would include securing all necessary documentation (ex. security questionnaire and SOC reports) as the liaison throughout the entire negotiation and contracting processes.
  • With time & experience, role to progress editing a wide range of agreements including master agreements and amendments, vendor contracts, technology agreements, partnership agreements, etc.
  • Ensure timely execution of new contracts and contract renewals.
  • Assist with establishing vendor management protocols to engage with vendors and external parties to ensure negotiated contract terms and fees are being adhered to (ex. facilitate joint operating meetings with internal and external customers Support the ongoing relationship with vendors including resolving disputes or issues.

Job Requirements

  • Bachelorโ€™s Degree required; an additional three yearsโ€™ experience may be substituted in leu of education.
  • Notary Public Designation preferred.
  • Minimum of two years of contracts administration or similar transactional experience in a role that requires direct interaction with vendors, providers, and internal stakeholders.
  • Detail-oriented with strong organizational skills, multi-tasking, ability to track and maintain large quantities of open items at a given time.
  • Excellent organizational and communication skills.
  • Ability to work independently with minimal supervision.
  • Demonstrated ability to prioritize in a fast-paced environment.
  • Experience and competency working with people from diverse backgrounds and cultures.

Wage base range for this role is 68.000 - $72,000 + Bonus + Equity. WelbeHealth offers a competitive total rewards package that includes, 401k match, healthcare coverage and a broad range of other benefits. Actual pay will be adjusted based on experience and other qualifications.
