The Financial Institutions Group (FIG) is one of the major industry groups at IFC, responsible for managing roughly 40% of IFC's overall business in terms of volume and capital at risk. FIG's strategy and implementation work focuses on 3 main pillars: (i) increase financial access and inclusion; (ii) scale sustainability and climate finance; and (iii) make financial systems more efficient, resilient, and sophisticated. FIG engages in a wide range of priority areas including Financial Inclusion, Digitization, Climate, Housing, Distressed Assets, and Trade Finance, to which it offers investment and advisory services through banks, non-bank financial institutions, other digital channels, and the capital markets.

IFC's priorities in FIG as an industry group are: (i) grow investment and advisory solutions in all regions it operates in, while achieving strong profitability and development impact (ii) build new and nurture existing client relationships to make IFC the preferred partner for key clients (iii) manage portfolio of assets for strong profitability and impact; (iv) support local companies, while improving transparency and corporate governance; (v) catalyze foreign investment, including mobilizing B loans, parallel loans, and other forms of capital mobilization; (vi) introduce and develop new financial solutions, products and platforms; (vii) build long-term partnerships with strong regional players; (viii) develop client, sector and country-level solutions through upstream and downstream interventions that can be scaled and replicated; and (ix) be a thought leader and innovator of products and client solutions globally.

FIG is looking for a very motivated individual to help support its Program and Event Management and work as a member of the team supporting the data analytics and reporting needs within FIG. He/she will report to the Senior Manager Business Support Unit (BSU).

Roles & Responsibilities:

The role will cover a wide range of evolving responsibilities in line with strategic priorities of FIG. Anticipated scope of duties and responsibilities include the following:

Event Management:

Oversee organization and management of all FIG events i.e., Learning, Training, FIG Forums in collaboration with FIG management/sector leads and ACS team. Function with a high level of judgment to provide a wide range of activities both independently and to support the designated FIG global management, in particular:

• Map out/articulate overall event objectives, finalize presentation topics, assist with event and agenda design and preparation, speaker invitation, sessions planning and formats for effective presentation of topics and achievement of the event objectives.• Oversee event logistics, manage, and direct vendor negotiations and contracting. • Design promotional materials e.g., banners, posters, announcements, invites etc. in line with the event and program objectives.• Oversee relevant IT support staff and Design CVENT/hosting website for registration and information dissemination to attendees ensuring content is current and updated regularly.• Provide logistical, administrative, and practical support on IFC premises and at offsite locations. • Book and manage venues for events with due regard to budgets in close collaboration with FIG budget team. • Work closely with selected event management companies, provide direction and instructions to coordinate all event activities and ensure smooth and successful execution of all events.• Act as Liaison for FIG's training scheduling and management - work with training providers and direct other team members to schedule and oversee FIG's technical training events.• Track and monitor expenses for each event, including training activities, and provide regular updates to management and FIG budget team. • Manage conference activities for the Department: track events, make online conference room reservations, and check for available resources for staff with timely approval of services on the services portal. Keep track of ongoing and future events and activities for the Department.

Office Move Planning, Coordination, and Space:

• Review, plan and support space allocation for the department, act as liaison with central departments and manage and negotiate the department's office space needs. • Schedule office move logistics. Assist departments with move and preparation activities. • Update and maintain office occupancy space plans, and maintain the office occupancy space database

Analytics and Transaction Processing:• Manage event transactions (including knowledge, training and other events as needed) expenses and purchases, liaise with providers of services to manage purchase Orders, SES, Good Receipts, and STC/STT/Intern contracts.• Manage vendor registrations, while liaising, and coordinating with corporate procurement and RM team for clarifications. Oversee appropriate procurement processes in line with WBG standards, provide advice to teams.• Provide data analytics on FIG's programs and expenses to FIG management, in line with FIG requirements and standards, to ensure efficient and effective use of FIG resources.• Periodically review contracts renewals and expiry and process all vendor payments. • Manage year-end accruals and expense monitoring.

Onboarding and LARS Coordination:• Support the Selection process for Senior staff in the Department by scheduling of interviews, liaising with candidates and panel members. • Assist with Onboarding of new staff together with knowledge management team and FIG BSU.• Be accountable and support full LARS Coordination for FIG

General:• Work and collaborate with the FIG Executive Assistant/Senior Program Assistants from regional Units and IFC offices to develop a high level of teamwork. • Work closely with FIG knowledge management team and lead to enhance quality, frequency and ongoing maintenance of sectoral information including pitchbooks and projects and other relevant and critical resources for FIG staff on its intranet and for FIG events.• Lead FIG's training program planning management and logistics in collaboration with Senior Manager, BSU.• Support CRMs, IRMs and other global and regional meetings, as needed, in collaboration with other Regional and Global Leads.• Provide basic research support and use relevant IT software to retrieve, maintain and manipulate data for use in connection with training, knowledge management and other FIG events.

Selection Criteria

• Bachelor or certificate degree in a relevant field or equivalent years of direct relevant experience.

• At least 5-8 years of experience in program and event management, budget and procurement management.

• At least 2-4 years of experience in data analytics and financial and data management.

• Strong understanding of IFC processes and procedures.

• Self-motivated, creative with excellent organizational skills and proven ability to perform multiple tasks.

• Excellent interpersonal skills.

• Analytical mind, able to analyze, collect and aggregate information present data effectively to internal and external clients.

• Capacity to deal with conflicting priorities and deliver high quality work on schedule; facility to work successfully in multicultural teams and across boundaries.

• Excellent oral and written presentation skills in English are required.

• Enthusiasm for, and commitment to development work.

• Commitment to development work and IFC's mission.
