POSITION SUMMARY:

Under the supervision of the Community Operations Manager, the Project Coordinator will provide complex administrative and research assistance for a large multi-site clinical trial in the Clinical Addiction Research and Education (CARE) Unit within the Section of General Internal Medicine. The Project Coordinator will support the Administrative Core Director in all aspects of project administration, and will assist with administrative tasks as needed.

The CARE Unit is an academic unit addressing clinical, education, and research aspects of alcohol and other drug use and disorders. The study will use community engaged methods to unite experts and community stakeholders in using a data-driven approach to narrow service gaps and implement a tailored suite of programs to reduce overdose deaths across Massachusetts. The study will be carried out across sixteen sites throughout the state. As part of the Administrative Core, the Project Coordinator will assist this multi-institutional research initiative across the spectrum of research operations functions, including Institutional Review Board protocols, NIH reports, presentations and publications, study team meetings, financial processes, and collaboration within and outside of the study. The Project Coordinator will support managers in the hiring, training and supervising of research assistants and student workers as needed.

Duties are primarily administrative or "behind the scenes" in nature, as opposed to recruiting and interviewing research participants. As a member of the Administrative Core, the Project Coordinator will be responsible for coordinating meetings among study team members, Community Advisory Board members, and scientific advisors.

ESSENTIAL RESPONSIBILITIES / DUTIES:

Research project coordination:

  • Supports the implementation of research by performing the following activities: coordinating research team meetings (e.g. preparation of handouts, taking minutes, arranging conference calls and webinar sessions) handling communication needs of the program; producing website and newsletter content;
  • Contributes to the planning, promotion and evaluation of research or training events
  • Provides assistance to the development and submission of Institutional Review Board (IRB) protocols, amendments, and progress reports
  • Assists in the preparation and submission of grant proposals and progress reports to the National Institutes of Health (NIH)
  • Contributes to the preparation and submission of research manuscripts to journals (e.g., editing, organizing references, online submission). Conducts literature reviews for use in publications and maintains a reference database
  • Processes research expenses or reimbursements and coordinates research team travel.
  • Develops PowerPoint presentations for research presentations
  • Performs office-related duties such as answering phones, picking up and delivering mail, storing and distributing office supplies, handling faxes, scanning, filing, photocopying, collating materials, maintaining the update of policy manuals, etc.

Finance:

  • Works closely with the finance manager with community budgets

Performs other duties as necessary: Follows hospital protocols:

  • Conforms to hospital standards of performance and conduct, including those pertaining to patient rights, so that the best possible customer service and patient care may be provided
  • Follows established hospital infection control and safety procedures
  • Must adhere to BMC's RESPECT behavioral standards

EDUCATION:

  • Bachelor's degree required; Master's degree (e.g., MPH) preferred
