Job Title: Program Coordinator, Liberal Arts (AY)                                              

Department: Undergraduate Studies

FLSA Status: Non-exempt

Grade: 3

Work Schedule: 35 hours week/AY positions work 10 months, August - May

Hourly Range: $18.00 - $21.00

Reports to: Director, Administrative Services

General Purpose: Program Coordinators (PCs) are AY staff members who facilitate program functions for the Undergraduate Studies Academic Areas. PCs are responsible for planning and coordinating the day-to-day fiscal, administrative, and operational activities across departments.

Major roles: 

  • Workday Specialists 

  • Manage Administrative support functions

  • Point of contact in the department for administrative needs and for collaborative work in other offices across campus. 

Position Responsibilities:

  • Budgets

    • Workday Financial Systems-Department Specialists 

    • Serve as Budget Analyst for respective departments.                                      

    • Complete regular budget reconciliations with Director of UGS Budgets and Academic Operations

    • Attend training and innovation meetings with cross-functional partners as scheduled or relevant. 

  • Curricular Support

    • Provide administrative support to departments, including but not limited to, managing calendars, coordinating events and scheduling room assignments, maintaining inventory and distributing materials accordingly, and coordinating itineraries for independent contractors.

    • Maintaining communication with faculty, staff, students, and external clients, corresponding via email, Slack, and/or Canvas.

    • Update and maintain departmental files, including but not limited to, Google Drive and MICA Server. 

    • Responsible for ordering and control of the department’s office and teaching supplies 

    • Provide support to department chairs, including correspondence, booking appointments, preparations and distribution of materials. 

    • Requisition of program supplies and materials through Workday. 

    • Department Guest Speaker Coordinator: plans budget, travel arrangements, payments, and scheduling

    • Manage social media accounts including Instagram, Facebook and Twitter, and other means to promote news, programs, and opportunities weekly.

  • Space/Facility and Student Support 

    • Serve as a program liaison between faculty, staff, students, and various departments (i.e. A.V, FacMan, and A/P)

    • Provide logistical and scheduling support for programs and events, including managing space reservations through 25Live.

Knowledge, Skills, and Abilities:

  • Knowledge of Microsoft Office Suite; Adobe Acrobat; PeopleSoft

  • Skills: computer use

  • Excellent written and verbal communication

  • Organizational and time management skills with attention to detail

  • Ability to work independently without supervision, prioritize multiple deadlines

Minimum qualifications:

  • Associates Degree

  • Minimum 1 year experience in Administrative Assistant role

  • May substitute 10 years administrative experience for Associates Degree

Preferred Qualifications:

  • Knowledge of PeopleSoft

  • Work environment: While performing the duties of the job, the employee is exposed to weather conditions prevalent at the time. The noise level in the work environment is usually moderate.

  • Required training: Handbook orientation, Anti-Harassment, Hazard Communication, Emergency Plans & Fire Prevention, and Personal Protection Equipment. (additional training may be added, SEE: EHS Manager training schedule)
