What you will be doing:
Acting as the main client contact, the program manager is responsible for the management of all operational aspects of an assigned project, including accountability for all service deliverables, supporting profitability goals and accountability for customer satisfaction. The program manager collaborates with team members in defining the requirements of the participant registration site design and setup, and the promotional website. Strong negotiation skills are an integral part of the role along with excellent vendor relationships. The program manager reports to the Manager of Group Travel Operations.
Program Management
- Own the responsibility for the operation of numerous group travel programs from the contract phase to on-site execution and program closure
- Interface with the client representative and HMI sales executive to monitor program participation
- Manage program payment schedules, budgets, timeline creation and final program reconciliation, P & L statement
- Represent HMI as the primary liaison for hotel and related vendors on a project by project basis (menu selections, venues, activities, VIP arrangements, room gift selection etc.)
- Coordinate with air management on group blocks, penalties, and "book and ticket" reservations
- Site inspections: plan and execute site inspections as needed, in addition to accompanying a client during a site inspection if required.
- Facilitate marketing on the design, creation, and accuracy of program documentation to include initial travel registration site, pre-departure documents, program launch and ongoing communications, and on-site materials
- Liaise with Data Analytics and Marketing if the program requires performance-based goal tracking for monthly progress-to-goal communications; and oversee monthly "progress to goal" email statements and quarterly and/or monthly dashboard reports to clients
- Own responsibility for Trip Director details, airport accommodation, program instruction book and briefing, and uniform guidelines for each travel program
- Incorporate Group Travel Reimagined elements into assigned programs
- Travel on-site with programs, as needed, as part of the on-site travel program staff
Website & Registration
- Work with the internal CVENT team in the creation of travel program websites and registration pages
- Coordinate and oversee the design of email communications, including travel program invitations and distributing registration links to participants, via Cvent software and working with Marketing creative services members
- Oversee registration activities, managing hotel/air inventory block and pre-trip activity sign-ups
What you'll bring
- Experience with on-site operations for group travel incentive programs
- 5 plus years of Group Travel Program Management or Event Management experience
- Prior experience using Cvent software for travel websites, registration, and reports preferred
- Proficient in Microsoft Office
- Prior knowledge of event mobile apps a plus
- Ability to see and use creative and innovative methods for resolving problems
- Team player with solid follow through and communication skills, who is organized, detail oriented and an effective multi-tasker
