Our team is looking for an entry level Project Administrator / Coordinator to help support the Midcon Region as we continue to grow. This opportunity is to support our technical projects in the Lake Charles and Baton Rouge, Louisiana areas. The position may report to either our Lake Charles or Baton Rouge offices but may also be completed remotely via work from home or another GHD office.

Specific responsibilities will include:

  • Preparing purchase orders for vendors
  • Reviewing vendor invoices against purchase orders and processing payment approvals
  • Vendor contract coordination and review with project teams
  • Scheduling deliverables and field tasks (use of MS Projects)
  • Budget preparation and forecasting support for project manager
  • Client invoice preparation and review support for project manager
  • Project document organization per GHD's quality system and as directed by project manager
  • Preparation of meeting materials for project team (may include powerpoints, excel graphics/charts, schedules in MS Projects, etc.)
  • Coordinating travel arrangements for office and field staff
  • Organizing and coordinating field team trainings (GHD trainings and client required training courses)
  • Accounts receivable review to support project manager
  • Use of GHD software to run analytics of project performance and delivery on behalf of project manager
  • Maintaining personnel and training records
  • Administrative tasks related to equipment and vehicle cost recovery
  • Handling correspondence as directed including, but not limited to: copying, scanning, emailing, FedEx/USPS mailing
  • Performing general project team support duties associated with project equipment, supplies, communications, etc.
  • Working cohesively as a team within the office or remotely; assisting team members as needed

For success in this position, you will possess the following skills and qualifications:

  • Minimum of a High School Diploma or GED required
  • 0-5 years of administrative support experience in an office environment
  • Professional attitude and positive work ethic
  • Ability to work with little supervision and achieve superior results
  • Strong attention to detail and accuracy
  • Ability to handle difficult situations and work well with multiple instructions and directions
  • Excellent organizational skills with ability to multi-task and prioritize to meet deadlines
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook and Adobe PDF Writer)
  • Proficiency in Microsoft Projects
  • Strong written and verbal communication required
  • Ability to maintain confidentiality in all matters of correspondence, telephone messages and personal conversations
