As a Project Coordinator within our software company, you will play a crucial role in supporting the planning, execution, and monitoring of software development projects. This position requires a detail-oriented individual with strong organizational skills, excellent communication abilities, and a deep understanding of software development processes.
Β Project Planning and Scheduling:
Assist in the development of project plans, timelines, and milestones in collaboration with project managers and development teams
Coordinate resources, tasks, and dependencies to ensure project objectives are met within established deadlines
Monitor project progress and identify potential risks or deviations from the plan
Communication and Stakeholder Management:
Serve as a primary point of contact for project-related inquiries and communications
Facilitate regular meetings, including kick-off meetings, status updates, and retrospectives, and ensure clear documentation of meeting outcomes
Communicate project status, issues, and risks to stakeholders, including project managers, team members, and clients
Documentation and Reporting:
Maintain project documentation, including project charters, scope statements, and risk registers
Generate and distribute regular project status reports, highlighting key metrics, accomplishments, and upcoming milestones
Ensure documentation is accurate, up-to-date, and accessible to relevant stakeholders
Risk Management and Issue Resolution:
Identify project risks and issues, assess their potential impact on project outcomes, and propose mitigation strategies
Work with project managers and teams to address and resolve issues promptly, escalating when necessary
Continuously monitor project risks and take proactive measures to minimize their impact on project success
Cross-Functional Collaboration:
Facilitate coordination and information sharing among team members to drive project success
Regular Check-ins:
Conduct weekly one-on-ones or check-ins with a team of developers
Measure engagement levels, track project statuses, coordinate help items with management, and provide timely resolution
Timekeeping and Leave Management:
Assist in timesheet tracking and monitoring of leave requests and approvals
Ensure timely and accurate recording of leave usage with the People Ops team
Coordinate holiday swaps and communicate related announcements to the team
Administrative Support:
Provide administrative support to the CEO, Managing Partner, and/or the People Operations team on day-to-day operational needs
Manage the calendars and appointments of the team
Keep internal trackers and documents updated and maintained timely and accurately
Other administrative tasks, as assigned
Bachelor's degree in computer science, information technology, or related field
3+ years of experience as a project coordinator/ manager; experience working for a software company is a plus
Excellent communication and interpersonal skills, with the ability to interact effectively with technical and non-technical stakeholders
Client facing experience is a huge plus
Detail-oriented with a focus on accuracy and quality in work output
Ability to multitask, prioritize tasks, and adapt to changing priorities in a dynamic environment
Open to work from 8pm to 5am Philippine Time or at least be online and attend calls between 9pm to 1am Philippine Time (US/ Chicago time zone)
