Your Opportunity
Your role will be to provide qualified administrative support to our client focused team.
Your Key Responsibilities
- Prepares correspondence, approval requests associated with adding new staff to the Program, program and project reports, meeting agendas, meeting notes, spreadsheets, presentations, and other program related internal and external correspondence.
- Organizes, attends and records meeting notes, decisions and action items, including the coordination and tracking of action items and deliverables for team meetings.
- Creates and maintains program deliverables at the direction of the Program Manager.
- Supports Project Accountant with development and finalization of monthly invoice and associated progress report.
- Maintains Program Administrative Procedures Manual.
- Processes expense reports, invoices, purchase orders, timecards etc. for Program Manager.
- Manages calendars, schedules meetings, books meetings rooms.
- Coordinates travel itineraries, approvals and local arrangements for Stantec staff working on the Program.
- Assists with document control including filing and archiving utilizing our network servers, client network servers, and SharePoint sites.
- Serve as liaison to client Supervising Administrator.
- Ability to work in an integrated office with client staff and other consultant staff.
- Performs other administrative duties as required.
Qualifications

- Excellent written and verbal communication skills.
- Strong multi-tasking skills with the ability to prioritize and organize multiple concurrent assignments.
- Ability to work effectively under pressure in a fast-paced environment.
- Must be willing and able to take initiative when needed.
- Ability to deal with difficult situations and/or people in a calm and professional manner.
- Proficiency in MS Office Suite and MS SharePoint.
- Ability to learn invoice drafting process and basic understanding of invoice information generated from our Oracle financial systems.
- Must have a good driving record and valid Driver's License.
- Prior to employment with Stantec, this position will require the successful passing of a drug and alcohol screen.
Education and Experience
High School Diploma with minimum of 3 - 4 years experience OR Post Secondary degree in related field with minimum of 1 - 2 years experience OR equivalent combination of education and experience.
Will be working in an integrated program management office (PMO) in the client's office space with consultant and client staff. Typical office environment working with computers and remaining sedentary for long periods of time.
