Project Coordinator Intern
Job Description
We are currently looking to add a Project Coordinator Intern for our Buildings Group, Lynnwood WA office location.
The successful candidate will be a proactive, self-starter with exceptional written and verbal communication skills. Organization, time management, attention to detail and accuracy is critical to this position. This position will work within a matrix management environment, candidate must be able to take work from multiple sources, self-direct and prioritize accordingly, and communicate workload to direct manager.
Your Key Responsibilities
- Assist Project Managers with project set-ups, coordinating schedule and budget development and issuance to Project Accountants and Project Controls staff for internal set-up requirements.
- Assist Project Manager, as requested, with the set-up of templates for PM Framework documents such as Project Execution Plans, Change Order Logs, Risk Registers, Health and Safety Plans, etc. and assist with following up with responsible team members to drive these to completion.
- Assist Project Managers with monitoring project progress, developing tracking data, PM reports and other materials as needed.
- Responsible for adhering to electronic filing (on servers) of project documentation consistent with Stantec document management policy/protocol (Global Data Management) and the project's contract (confidentiality, etc.)
- Set up and manage administration of project Team/SharePoint sites (as requested); manage document control processes as needed.
- Review project contracts to pull pertinent project information for invoicing, insurance requirements and confidentiality, assist PM's in ensuring all necessary documentation is saved to the project files and kept up to date.
- Assist Project Managers and Technical Leads with the subcontracting and subcontractor pre-qualification processes, making sure that all necessary documentation is signed, correct and in the project files.
- Provide subcontract management tracking support to Project Manager by creating and maintaining subcontract logs, assisting with change orders
- Work in conjunction with the Project Accountant and Project Manager to complete the process for job set-up, change order processing, invoicing and accounts receivable collections, payables per accounting and Stantec PM Framework requirements.
- Handle multiple tasks and projects concurrently, maintain accountability to understand and meet project deadlines (without having to be prompted or reminded), especially for recurring activities such as invoicing and monthly report preparation in support of Project Managers.
- Prepare/coordinate project meetings
- Other project related support duties as assigned.
- In all cases the candidate will be required to follow safe work practices and adhere to company guidelines and policies for planning and executing work in a safe manner.

- Customer Service mentality when working with both internal and external people.
- Possess impeccable communication skills and superior organizational capabilities. Must be able to work both independently and as a team member with multi-national staff and teams. Ability to prioritize work and handle multiple tasks concurrently.
- Must possess novice skills in Microsoft Excel
- Possess intermediate skills in Microsoft Word (all word processing functions: formatting, styles, etc.).
- Present a superior level of professionalism and discretion in all interactions, both internally and externally to the organization.
- Prefer intermediate skills in SharePoint (managing a site, utilizing the site to its fullest capabilities).
Education and Experience
Pursuing Bachelor's degree in business or other applicable field.
