Summary/objective:
We are looking for a highly organized and detail-oriented individual to join our team as a Project Admin/Account Clerk on our Merchandise team. In this role, your primary responsibility will be to track and manage projects related to merchandise, while also handling administrative and finance tasks. Your attention to detail and problem-solving skills will play a crucial role in ensuring project success and timely delivery of merchandise.
Essential functions
- Track and manage projects related to merchandise, ensuring they stay on schedule and within budget.
- Collaborate with the project team to gather and document project requirements, milestones, and deliverables.
- Monitor project progress and identify any potential issues or delays, proactively taking necessary actions to address them.
- Take notes that result in action steps and hold members accountable for those steps.Â
- Coordinate with vendors, suppliers, and internal stakeholders to ensure timely delivery of merchandise.
- Manage inventory levels and track merchandise shipments to various locations.
- Verify accuracy of product orders, invoices, and shipping documents.
- Assist with financial tasks, such as processing invoices, reconciling accounts, and managing project budgets.
- Support the team with data entry, filing, and maintaining project documentation.
- Provide general administrative support, including scheduling meetings, taking minutes, and organizing project-related materials.
- Must attend and contribute to regularly scheduled staff meetings.
- Proficiency in speaking, reading and writing in the English language required. Additional language proficiency is a plus.Â

- Proficiency with Microsoft Office and Google Workspace.

- Must be able to manage multiple assignments, set priorities, and adapt to changing conditions.
- Resourceful and able to problem-solve and manage tasks with ambiguity.Â
- Willing to perform an array of tasks both in and out of the office.
- Can take feedback to tasks and assignments positively and create better solutions.
- A quick study, able to pick up new skills and learn how to use new programs.
- Must participate in setting and achieving regularly scheduled and outlined objectives.Â
- Ability to take individual ownership, execute with high energy, share context, insist on candor with positive intent.
Required education and experience
- High school diploma or equivalent.
- Some finance or math experience or classes.Â
Preferred education and experience
- Associate's or bachelor's degree in business administration, project management, finance, or a related field.
Work environment - When in the main office, expect a comfortable, air-conditioned work environment. Team members are issued their own desks, but the office is an open, shared space and can be fast-paced and occasionally noisy.
Physical demands - Must be able to stand or sit at a desk for long periods of time. Must be able to see the difference between various colors, shades, shapes, and sizes.Â
Position type and expected hours of work - Regular full-time, 40 hours per week.
Travel required - Out-of-state travel is not anticipated for this position.
Work authorization - Must be authorized to work in the United States.Â
