Project Coordinator

Impact XM develops solutions for virtual and live events. We are looking for a Project Coordinator to join our team. As a member of Global Operations, the Project Coordinator supports the Project Management team in servicing and managing all aspects of project fulfillment.

RESPONSIBILITIES:

• Adhere to all Impact XM processes and policies accurately and efficiently
• Develop understanding & effectively work with required Impact XM project systems
• Effectively work with Impact XM's Online Asset Management & Event Management tools
• Support Project Management team by accurately / efficiently completing all requested tasks
• Communicate effectively with all required Impact XM departments & personnel
• Communicate effectively with strategic partners and vendors as it relates to project deliverables
• Keep highly organized project files
• Manage and execute client and vendor communications across a wide array of solutions and projects
• Liaise and communicate with multiple internal and external stakeholders to ensure timely delivery of projects and solutions
• Apply best practices and good judgement in all areas including project management, client communications, team management, time allocation and resource allocation
• Develop individual skill set, expanding client services, sales, business and marketing expertise
• Resolve problems / conflicts within team
• Complete all work as assigned
• Help train incoming team members
• Develop training and transition materials as needed
• Provide support and/or fully complete project estimates & workback schedules
• Be fully aware of task & project status. Be prepared to answer questions and provide updates
• Manage multiple projects simultaneously while managing project schedules, quality and budgets
• Observes deadlines, prioritizes workloads and operates under limited time constraints.
• Possesses understanding of assigned client properties
• Researches specialty materials and services in conjunction with Impact XM Finance
• Ability to read, redline & support development of fabrication drawings when necessary
• Flexibility to travel domestically and international for project fulfillment

REQUIREMENTS & SKILLS:

Bachelor's degree (B. A. or B.S.) from four-year college or university; and 2+ years' experience as an Project Coordinator or similar experience successfully executing projects and programs and/or training; or equivalent combination of education and experience.

• Able to read and understand construction drawings, setup prints
• Able to translate solid model renderings into construction methodologies

• Effective communication skills are required: including the ability to make effective presentations; prepare written documentation including proposals, quotations and letters; maintain accurate and complete client and project files
• Must be able to develop excellent rapport with existing and prospective clients
• Must have a good "business sense"
• Exhibit the ability to multi-task, sell, and operate under severe time constraints and immovable deadlines. Good organization, detail and follow-up skills are required
• Proficient using Microsoft office programs
