Job Description
POSITION SUMMARY:
This position will function as the Project Management Specialist with responsibility and accountability for establishing operational and administrative infrastructure. Manages a variety of projects and data analytics/reporting relating to Procedural Services technical, professional, and operational work. Additionally, responsible for managing and assessing quality across multiple projects to ensure overall program success.
Responsible for the coordination and completion of assigned projects in the perioperative/procedural services areas of the hospital. Provides support to the Senior Manager and Senior Director of perioperative services in all aspects of projects, goals and deliverables that support the administrative and business functions of the procedural areas of the hospital. We are looking for a positive and motivated contributor with a strong commitment to quality and the BMC mission who can pick up new skills quickly related to databases, excel, PowerPoint and the electronic medical record. An ideal candidate will have excellent time management, analytical, and organizational skills as well as the ability to multitask to support the movement of key indicators on our work. This person will also provide administrative support and complete other tasks as assigned

ESSENTIAL DUTIES/RESPONSIBILITIES:
Project Management Functions
- Provides leadership in project management and program office operations and methodologies.
- Maintains master work plan for each project.
- Tracks, analyzes, and makes recommendations on status reports, issue resolution, and program actual against project charter, budget, and/or plan.
- Defines and communicates framework/templates for deliverables that span the engagement.
- Standardizes and integrates plans, approaches, and deliverables across projects.
- Raises deliverable quality concerns or questions to appropriate level; ensures appropriate content/structure is contained within the deliverable.
- Manages engagement risk through reaffirming sponsor expectations, managing scope, managing alliance relationships, managing contractor relationship, and taking early action to resolve problems.
- Develops, implements, and demonstrates evidence of achieving highest level of client satisfaction.
- Captures and shares best practices across engagements.
- Promotes an environment that encourages effective knowledge contribution and reuse.
- Leverages existing knowledge (intranet, internet, Microsoft Office applications-with a focus on powerpoint and excel, Visio, Outlook, etc.,) through the effective and appropriate application to current project and/or engagements.
- Ensures engagement teams submit deliverables to appropriate knowledge bases.
- Promotes project team efforts and shares sense of purpose so that work is synchronized and concurrent, knowledge is shared, and seamless services are provided.
- Responsible for analyzing data,, implementing and maintaining databases, gathering data from primary and secondary sources, identifying, analyzing and interpreting trends from the data.
- Assists with management of IPP and OR executive committee meetings where groups collaborate and role model for effective and accountable procedural operation leadership, including but not limited to creating slide decks, managing data, taking meeting notes, scheduling and coordinating meetings with multiple parties, tracking action items and sending follow-ups out to invested parties
- Alongside of the Sr. Director and Sr. Manager, provides strategic leadership and oversight to the continuum of perioperative services, Anesthesia Services, Endoscopy Services, Pain Management Center, and Central Processing to accomplish sustained profitable growth in all areas
- Assists to improve efficiency of resource utilization (e.g., room utilization, block utilization, staffing optimization)
- Supports the development and implementation of initiatives to expand and maximize the effectiveness of the Services including targeted performance improvement initiatives for all areas
- Responsible for annual planning relative to service line and integration with organization's strategic plan
Administrative Functions
- Shares the responsibility for ensuring the department operates in an effective, efficient, and professional manner.
- Schedules and coordinates logistics of meetings for Director and /or staff members/providers.
- Responds to all telephone calls for the department and uses a professional and courteous speaking manner while on the phone.
- Completes all reports, spreadsheets, and/or other correspondence as necessary.
- Establishes and maintains administrative office filing system.

- Reinforces department's image in the project environment.
- Maximizes use of training resources to accelerate or advance one's own productivity and Identifies additional opportunity for improvement.
- Develops and documents competencies as related to position.

Work Location
- Hybrid schedule - work from home and on-site at main hospital campus will be required
JOB REQUIREMENTS
EDUCATION:
- Bachelor's degree required; degree in health administration preferred. In some areas, equivalent work experience, particularly in healthcare, may substitute for education.
EXPERIENCE:
- Three to five years minimum of project or healthcare administration experience.
KNOWLEDGE & SKILLS:
- Strong computer skills are essential (high level Microsoft Office products to include: PowerPoint/Excel/Word /Access, as well as Outlook, and Visio).
- Outstanding communication skills, interpersonal skills, and the ability to build value-added relationships with individuals at all levels while providing superior customer service.
- Positive contributor and a strong commitment to quality are essential.
- Strong time management, organizational skills and the ability to multitask are a must.
- Excellent judgment, with strong analytical and detail-oriented skills, is essential.
- Ability to work in a fast-paced environment that changes rapidly to fit the needs.
