We have an opportunity at our corporate offices in Chicago for a Project Manager I on our Health, Science & Ethics team. This is a hybrid position reporting into our Chicago, IL office, requiring 2 days a week in the office.
As a Project Manager I, you will provide project management for Health, Science and Ethics strategic priorities and House of Delegate directives. Responsible for the successful initiation, planning, design, and monitoring of each project. Collaborate and coordinate with other AMA units, partners and vendors to ensure the successful development and execution of projects. Ensure project outcomes align and enable achievement of business goals; actively seek out user feedback with internal and external stakeholder groups and identify opportunities to improve the overall impact of projects and initiatives.
RESPONSIBILITIES:
Project Management
- Manage a portfolio of multiple medium complexity projects or programs simultaneously, creating and maintaining project plans, planning and coordinating cross-enterprise meetings, updating status reports, and tracking and resolving issues
- Define scope of projects in conjunction with stakeholders and BU leadership, and obtain approval prior to initiating project plans
- Actively manage and maintain the day-to-day operations of project workflows
- Create and properly maintain documentation for project meetings, collaborator deliverables acceptance, and project change orders
- Identify, prioritize and refine process gaps as needed; identify project risks and issues, develop appropriate solutions and bring to leadership for their awareness and input
- Consistently utilize and contribute to improvement of project management processes, templates and tools
- Develop and analyze key metrics and outcomes that evaluate the effectiveness of the BU's initiatives, programs and partnerships; leverage data to continually iterate and improve upon existing strategies
Relationship Management
- Build and manage critical working relationships with leadership and teams within the business unit (BU), and across AMA, along with external partners/vendor for successful implementation of initiatives
- Provide organizational and logistical support for multi-stakeholder meetings; ensure regular communication with collaborators
- Develop and recommend project plans to stakeholders and secure their support
- Evaluate stakeholder satisfaction through proactive communication and formal follow-up
- Help to ensure work is integrated into the overall Health, Science and Ethics and AMA strategy
Support Other Projects and Activities
- Support other projects and activities as requested by HSE leadership, including but not limited to conducting review of relevant scientific literature, reviewing existing AMA policies, and presenting project results to internal and external audiences
- May support identifying and developing additional funding sources including assisting and preparing grant applications, evaluate project impact, and recommend modifications to stakeholders
May include other responsibilities as assigned
REQUIREMENTS:
- Bachelor's degree required;
- Minimum of five years of work experience in project management in a non-profit or health care related setting required; PMP certification preferred
- Demonstrated ability to effectively manage and execute multiple projects, to achieve project deliverables with a strong track record of high quality and on time completion; able to handle ambiguity and adapt effectively to changing circumstances
- Proven ability to build and strengthen existing and new internal and external relationships
- Demonstrated ability to work in a team setting as well as independently; polished interpersonal, consensus-building, and negotiation skills
- Excellent organizational skills and attention to detail
- Proficiency in Microsoft Office suite with project tracking software (e.g. Microsoft Project, SmartSheet, Asana, or Workfront PM) required
