Job Description

The Project Manager, Operations, oversees Advisors administrative and organizational processes, and looks to refine and improve it. You will report to the SVP, Managing Director, Strategic Consulting and work with Advisors’ Director, Operations, and the organization’s Human Resources team, ensuring that the employee experience is optimal.

Essential functions of the job include but are not limited to:

  • Liaise with Talent Acquisition to provide necessary details for new hire offers
  • Collaborate with HR on the orientation and set up for new employees
  • Lead the Advisors new hire onboarding process and conduct 30-60-90 day follow up with new employees to ensure their set up, trainings and tasks are complete and the new employee’s entry runs smoothly and their experience is positive
  • Coordinate with HR on the offboarding process, ensuring a smooth transition for the employee
  • Plan company events, such as outings, office events and culture/work experience surveys
    • Establish and maintain relationships with third parties/vendors
  • Collaborate with Advisors Operations team leadership and HR on creating Job Descriptions and ensuring they are updated regularly
  • Serve as communication point to HR on employee status changes and organizational chart updates
  • Collaborate with HR and Advisors Operations team on process and content improvements to biannual review platform
  • Partner with Operations Director to manage division’s resource allocation function

Qualifications:

  • Proven working experience in operational and administrative functions
  • Excellent written and verbal communication skills
  • Solid organizational skills including attention to detail and multitasking skills
  • Strong working knowledge of Microsoft Office Suite

 

Minimum Required:

  • Bachelor's Degree
  • Minimum 4-6 years’ experience or MA with equivalent experience

Preferred:

  • Experience in organizational training and development
  • Prior experience with a life sciences consultancy a plus

Competencies:

 

  • Communication Skills: Possess excellent verbal, written, and presentation skills including ability to clearly respond to questions about process documentation and expectations. Must possess a rapid agility to reply to emails, provide instructions of work stream necessities or issues encountered, chair meetings, workshop facilitation, business and report writings in a succinct and informative manner.
  • Business Judgment and Strategic Insight Skills: Ability to engage in a candid discussion with internal teams to guide the feasibility and timing of project deliverables. Excellent judgment demonstrated through analytical, interpretative and conflict resolution skills. Adept at developing credible relationships with senior level managers and/or executives in the pharmaceutical/healthcare industry. Strong competence in managing large and/or multiple projects and priorities so that deadlines are met while consistently delivering top quality outcomes. Flexible mindset with the ability to prioritize, understanding there is not only one path to success
  • Data and Quality Management Skills: Collect, manipulate and report data to inform adherence to process standards deployed and efficiencies achieved. Independently validate reasonableness of outputs across reporting metrics to inform recommendations for the leadership team.
  • Collaboration and Teamwork Skills: Delivers information with diplomacy including giving and receiving constructive feedback within process management initiatives. Ability to take team member feedback and work independently with initiative and self-motivation to standardize production processes across projects. The successful candidate must possess excellent judgment, management, and conflict resolution skills.
  • Technical Expertise: Working knowledge of Microsoft Office Applications such as PowerPoint, Word, Excel, Access, Outlook, etc.
