The CGI Programming Project Manager will support the CGI team in creating best-in-class conferences and events. Specifically, this position will lead the logistical, administrative, and data management operations for programming, recruiting, and engaging speakers and other high-profile attendees at CGI conferences. Successful candidates for this role will have experience in conference and event logistics, have a passion for social impact work, and excel at project and operational management.Â

Core Responsibilities Â
In this role you will work on:Â
Develop and execute the overall administrative and logistical processes for the CGI programming team Â
- Support the management of CGI Program Team’s projects, developing and improving current processes and systems. Â
- Lead the program team’s data management, including Sharepoint, Google documents, and Airtable to facilitate ease of access, communication, automations, and sharing of necessary materials with other CGI and CF teams. Â
- Serve as point of contact and coordinate with CGI’s Strategy and Implementation team (CGI’s project management team) to track deadlines, milestones and other team-wide goals and needs.Â
- Manage team-wide programming processes, including:Â Â
- Conduct speaker vetting, invitation tracking and RSVP status
- Coordinate and extend speaking invitation letters. Â
- Develop speaker briefing documents and other marketing collateral
- Coordinate with the CF Marketing department and other stakeholders to make sure externally facing materials are updated with appropriate speaker informationÂ
- Serve as main logistical point of contact for a wide range of speakers for various eventsÂ
- Schedule calls and coordinate schedules internally and externally Â
- Help create and update conference agendasÂ
- Serve as the programming team’s liaison to other CGI and CF initiatives and departments, joining meetings and sharing information on an as-needed basisÂ
Conduct research on speakers and topics for CGI programmingÂ
- Conduct independent research on speakers and topics for CGI eventsÂ
- Contribute to brainstorming for plenary, featured session, networking sessions, and story studio contentÂ
- Help research and draft potential questions for CGI speakersÂ
Lead the speaker registration and wrap-up processes before, during and after CGI eventsÂ
- Receive and process all speaker registrations leading up to CGI events and onsiteÂ
- Coordinate communication regarding speaker registrations, including sharing speakers’ marketing and press materials with other CGI teams as needed. Â
- Produce a weekly report to inform the CGI team about speaker registration numbers and needsÂ
- Support on-site registration teams and third-party vendors with any issues or questions regarding speaker registration and credentials. Â
- Provide exceptional customer service for speakers in the lead-up to CGI events, onsite, and in follow up from CGI meetings Â
- Coordinate with Correspondence, as well as CGI’s Project manager, for the prompt sending of thank you notes to speakers and help with post-event wrap up reports and collateral.Â
Minimum Qualifications Â
What we’re looking for:Â
- Bachelor’s degree requiredÂ
- At least 6 years of professional experience, with several years’ experience managing projects requiredÂ
- Excellent data management skills. Experience with AirtableÂ
- Great communication skills, both written and verbalÂ
- Excellent writing/copy-editing copyÂ
- Experience with Microsoft Office suite/Google DriveÂ
- Experience with Blackbaud CRM or similar programs is a plusÂ
- Ability to work in a varying schedule including nights, early mornings, weekends and holidaysÂ
- Ability to travel domestically and internationally, and work on multiple time zones, as necessaryÂ
Compensation & BenefitsÂ
Our best estimate of the compensation range for this opportunity is $69 - 74K annually, depending on the experience you bring. This role is not eligible for overtime pay. This range is based on NYC market rates and may be adjusted if you will be working remotely. We look forward to discussing our compensation pricing strategy, and your expectations, throughout the interview process.
