Job Title: Project Manager/Executive Assistant (IT Services)
Type: Full-Time, Remote
Working Hours: Mondays - Fridays, 9:00 AM - 5:00 PM EST
Compensation: $1,800 - $2,500

Job Summary:

We are seeking an experienced and proactive Project Manager/Executive Assistant to join our team. This hybrid role is essential in supporting the strategic and operational initiatives of our leadership team. The ideal candidate will not only assist in executive support but also play a key role in managing project timelines, delivering on milestones, and ensuring the smooth execution of cross-functional tasks. Key Responsibilities:

Executive Support:

  • Manage the CEO’s calendar, coordinate meetings, and oversee travel arrangements.

  • Provide high-level administrative support, including handling email correspondence, drafting communications, and preparing reports for internal and external stakeholders.

  • Support executive decision-making by managing confidential information and maintaining organized documentation of important projects and initiatives.

Project Management:

  • Lead and oversee multiple projects, ensuring timelines are met and deliverables align with business objectives.

  • Collaborate with various teams across the organization to ensure alignment on project goals and track progress through regular updates and reports.

  • Facilitate project planning, create roadmaps, and manage the allocation of resources to meet project objectives.

  • Identify risks and develop contingency plans to keep projects on track and within scope.

  • Regularly communicate project status to senior leadership, ensuring transparency in performance, challenges, and deadlines.

Operational & Financial Support:

  • Assist in maintaining financial records, tracking expenses, and supporting the preparation of monthly financial reports.

  • Monitor project budgets, track costs, and ensure that projects are delivered within the approved budget.

  • Support financial forecasting and the development of performance metrics, including tracking milestones for cost-efficiency and revenue generation.

Cross-functional Team Support:

  • Coordinate cross-functional teams to align on key business initiatives and ensure smooth execution of daily operations.

  • Provide administrative support to various departments by streamlining communications and ensuring all project materials are updated and shared effectively.

  • Act as a liaison between the CEO and team members, ensuring priorities are communicated and objectives are met.

Key Qualifications:
  • Experience: 3-5 years of experience as an Executive Assistant with demonstrated experience in project management, preferably within the technology or IT infrastructure sectors.

  • Project Management Expertise: Proven track record of managing and delivering projects on time and within budget, with a deep understanding of project management methodologies.

  • Tech Savvy: Familiarity with project management tools (e.g., Asana, Trello, Monday.com) and CRM systems (e.g., Salesforce, HubSpot).

  • Financial Acumen: Experience managing budgets, tracking expenses, and supporting financial reporting.

  • Communication & Organizational Skills: Strong written and verbal communication skills, with the ability to engage with stakeholders at all levels.

  • Problem Solving: Ability to anticipate challenges and develop solutions quickly in a dynamic work environment.

  • Adaptability: Willingness to work in a fast-paced, evolving environment and handle multiple projects simultaneously.
