Property Management Administrator

We have an exciting opportunity for a Property Management Administrator working in our Chicago area office. They will provide the highest level of customer service to the tenants and vendors, maintain the appearance of assigned properties, assist with the operating costs and capital expenditures as well as being responsible for handling a wide range of administrative and support-related tasks. The individual will have the ability to exercise good judgment in a variety of situations, with strong communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities.ย ย
Duties and Responsibilities may include but are not limited to:
- Interface directly with our tenants to ensure their needs are met with a high level of customer satisfaction.
- Facilitate utility transfers, shut-off resolution, and set up for acquired properties.
- Review accuracy of invoices processed through and input proper invoice coding for Property Manager approval.
- Manage tenant and vendor COIโs for assigned properties.
- Send out tenant notice letters as needed and assist in the collection of accounts receivable.
- Help to maintain work order system to ensure that tenant service calls are handled to 100% customer satisfaction.
- Assist in bidding of contacts by producing bid summaries and drafting and uploading service contracts into Yardi as per negotiated terms. Ensure appropriate insurance coverage as per company standards.
- Assist with acquisition and disposition of company assets through due diligence requests.

Qualifications and Experience:
- Property or building management experience and handling customer service and administrative issues related to real estate management is preferred
- Proficiency in MS Office. Experience with Yardi strongly preferred
- Excellent verbal and written communication skills
- Ability to speak effectively before tenants or employees of organization
- Self-motivation, determination, and initiative in a team environment
- Demonstrate high attention to detail
- Ability to multi-task effectively in a fast-paced work environment
- BA or BS in Finance, Real Estate, Business Management preferred.
Physical/Mental/Visual Demands and Work Environment:
- The job is conducted in an office work environment while sitting most of the time
- Approximately 90% of this positionโs duties requires the use of a computer
- Must be able to exert up to 20 lbs. of force occasionally related to filing
- Limited travel
