We have an opportunity at our corporate offices in Chicago for a PS2 Program Administrator on our Physician Satisfaction team. This is a hybrid position reporting into our Chicago, IL office, requiring 1 day a week in the office.
As a PS2 Program Administrator, you will supports AMA STEPS Forwardยฎ practice innovation strategies projects, including educational playbooks, toolkits, podcasts, success stories, webinars and other digital content and design projects across the Professional Satisfaction & Practice Sustainability (PS2) business unit from initiation through delivery. Oversees the STEPS Forward brand and ensures projects align with the STEPS Forward brand identity and overarching strategy. Collaborates and aligns with other PS2 workstreams, AMA business units, partners, and vendors to ensure proper implementation of projects.
RESPONSIBILITIES:
Program Coordination/Management
- Create and maintain PS2 design project plans, report status, track and resolve issues and ensure timely completion of design projects
- Meet regularly with program leadership and staff to ensure activities of external collaborators are well integrated and coordinated within PS2's department's program and business goals
- Support subject matter expert review and incorporate feedback when appropriate
- Organize, review, Package, and submit content and files as needed
- Help create and enhance tools and templates to make work more efficient
- Identify opportunities for partnership and repackaging with existing resources throughout PS2 and the AMA
- Support team use and adoption of project management software
- Recommend and incorporate continuous process improvement practices and efficiencies in procedures, processes, and protocols
- Serve as the point person for questions and issues from the AMA STEPS Forward inbox
- Provide programming support and other assistance including budget development and monitoring; finance and legal requirements; data reporting and analysis; and other tasks as assigned to ensure that project goals are met
Brand Administration
- Review PS2 materials to ensure they align to STEPS Forward brand standards and guidelines
- Maintain the STEPS Forward Brand Style Guide
- Serve as main liaison for large design projects across the business unit
- Update design files on quick turn projects
Relationship Management
- Support strategic collaboration, communication, and coordination across PS2, AMA Business Units, as well as with external partners
- Collaborate and build internal and external partnerships
- Actively seek out user feedback from internal and external stakeholder groups and identify opportunities to improve the overall impact STEPS Forward
May include other responsibilities as assigned
REQUIREMENTS:
Candidate Profile:
- Bachelor's degree required
- Minimum 3+ years of increasingly progressive experience in project coordination and management, planning and execution or equivalent skills
- Experience with content publishing preferred
- Demonstrates planning and prioritizing skills; Well-developed organizational and time management skills to handle a variety of multi-faceted projects, often with conflicting deadlines in a fast-paced team environment
- Strong verbal and written communication skills. Excellent interpersonal skills to interface effectively with numerous stakeholders
- Experience in process improvement initiatives to impact efficiency and effectiveness of workflows
- Experience with Asana or similar project management software preferred
- Tableau, Google Analytics, Data Studio experience a plus
- Experience with Adobe Acrobat, Photoshop, Illustrator and InDesign a plus
- Proficient in use of Microsoft Office applications including, Word, Excel, PowerPoint, SharePoint, and Outlook
