We have an opportunity at our corporate offices in Chicago for a PS2 Program Coordinator on our Physician Satisfaction team. This is a hybrid position reporting into our Chicago, IL office, requiring onsite every other month.
As a PS2 Program Coordinator, you will support the program, business operations, and administrative functions within the Professional Satisfaction & Practice Sustainability (PS2) Group; specifically, support two national programs related to physician burnout and organizational well-being. Responsible for maintaining program timelines, managing distribution lists, tracking team performance metrics, scheduling meetings, providing meeting support, and other matters related to team operations.
RESPONSIBILITIES:
Program Coordination - Organizational Assessment Program & Joy in Medicine
- Creates timelines and project plans in coordination with assessment manager to ensure accurate communication and expectations for health system clients.
- Deliver project tasks on time, with high quality and ensure that deliverables/milestones are met. Coordinate assignments/milestones and execute in accordance with approved plans.
- Supports program team in tracking workflow status updates, testing annual application portal (via Submittable) and troubleshooting application efficiencies
- Liases with AMA staff in other business units to ensure successful monthly reporting and timely updates on program work.
- Develops, tracks, and reports including service delivery feedback surveys and monthly metrics
- Tracks and provides follow-up communications with assigned programs
- Cordinatess the intake process for all new health system clients, using templates to communicate program information, schedule follow-up meetings, and answer questions; raises issues to leadership when appropriate
- Provides contract support for health system data use agreements; liaises with Office of General Counsel and health system clients to fulfill contracting compliance.
Administrative Support
- Updates Salesforce tracking
- Supports manager in streamlining operational efficiencies across unit, refining and implementing new processes based on business needs
- Supports managers and team in scheduling meetings and provides logistical meeting support
- Leads administrative tracking and submissions for all CRT-related projects, ensuring accurate tracking and information gathering to support a successful CRT review; primary liaison with CRT office
- Serves as primary contact for distribution list, ensuring timely and correct updates.
- Provides administrative support including, but not limited to, ordering and coordinating shipment of annual awards, printing program materials, and meeting support for onsite workshops and events
May include other responsibilities as assigned
REQUIREMENTS:
- Bachelor's degree required
- Minimum 1+ years of experience in project management, or operations support.
- Proven ability to track programs and lead projects focused on operational efficiencies; ability to effectively manage time, prioritize work, and multi-task across assignments
- Ability to work independently, across offices and virtual teams and function effectively as a highly collaborative team member
- Detail and task oriented
- Demonstrated ability to exercise sound judgment and maintain a high level of confidentiality
- Excellent verbal and written communication skills with an ability to persuade and communicate confidently
- Proficiency in Microsoft Office suite and Zoom required
- Familiarity with Salesforce a plus
- Minimal travel required
