Scope of the Role

The Purchase Order Specialist performs a crucial role in managing our procurement process through creating, analyzing, and reviewing purchase orders. This role will be responsible for ensuring accurate information on all purchase orders, timely updates, deliveries and resolving order issues or discrepancies against PO's. The Purchase Order Specialist will coordinate with other departments and vendors on a daily basis and provide support for the review and audit of vendor performances. This role ensures the application of regulations and implementation of internal requirements on all distributed PO's.

Essential Functions & Key Responsibilities• Responsible for executing on and reviewing accuracy of PO creation process.• Communication with Vendors regarding new PO's issued acceptance of PO's, updates, and payments.• Ensure and assist Accounts Payable for the required deposit, verify the remaining balance against the packing list and/or actual shipped item/quantity from the vendor.• Research PO item receiving and payment variances, reconcile discrepancies with A/P and Operations teams.• Monthly review of aging Deposit & Open Credit balances; validating they are still current communicating with vendor for any refund requests.• Prepare weekly cash flow projection report to finance department.• Validate pricing, terms, and price adjustments as necessary.• Order follow up process, booking reminders, and proactively confirming on-time shipment.• Keep dates on PO's current and aligned with forecast, update Salsify with related production status changes.• Review open orders against forecast, adjusting with demand changes.• Analyze weekly deposits and balances due; prioritize deposit payments.• Assist Receiving team on any discrepancies, track frequency of discrepancies.• Coordinate with internal QC, Accounting teams, and vendors to resolve defective items and shortages.• Maintain and update item and vendor lists, price, and payment terms.• Perform other duties as assigned.

Qualifications & Required Experience• Bachelor's degree required.• Minimum 2+ years required experience in similar position in the consumer goods industry.• E-Commerce/B2C experience strongly preferred.• Strong verbal and written communication required.• Strong attention to detail with a high-level of accuracy required.• Demonstrated experience in managing a large volume of data.• Strong proficiency in Microsoft Office Suite required.• Experience in NetSuite and/or similar ERP systems required.• Accuracy on creating and maintaining purchase orders, payments and receipts of shipments is mandatory, as well as proper administrative work.• Bilingual in Chinese Mandarin and/or Vietnamese strongly preferred.
