Position: Quoting and Invoice Management Associate

As a Quoting and Invoice Management Associate at Flexport, you will be responsible for the precise and efficient handling of freight quotes and invoices, ensuring seamless communication and collaboration with both internal teams and external partners. You will be a key contributor to the smooth operations of our logistics services, enabling Flexport to deliver exceptional customer experiences.

• Generate accurate and competitive freight quotes for customers based on shipment details, including weight, dimensions, origin, destination, and shipping preferences.
• Collaborate with various internal teams, including sales, operations, and carriers, to obtain the necessary information to create comprehensive and timely quotes.
• Proactively follow up on quote requests to ensure quick turnaround times and exceptional service to our clients.
• Evaluate market conditions and pricing trends to offer competitive and cost-effective quotes that align with Flexport's profitability goals.

• Verify and process invoices from carriers, suppliers, and other service providers in compliance with established procedures and contractual agreements.
• Conduct thorough audits of invoices to ensure accuracy and adherence to pricing agreements, resolving any discrepancies in a timely manner.
• Work closely with finance and accounting teams to ensure seamless and timely payment processing for invoices and resolve any payment-related issues.
• Maintain organized records of all invoices, payments, and related documentation for internal tracking and audit purposes.
  

• Liaise with various stakeholders, including clients and internal teams, to gather necessary information and facilitate smooth quoting and invoicing processes.
• Communicate effectively with clients to address their inquiries related to quotes, invoices, and billing matters, providing exceptional customer service at all times.
• Collaborate with cross-functional teams to streamline and enhance quoting and invoicing processes, identifying areas for improvement and implementing efficient solutions.
  

• Bachelor's degree in Business, Logistics, Supply Chain Management, or a related field preferred.
• Proven experience in freight forwarding, logistics, or related industries, with a strong understanding of quoting and invoicing processes.
• Knowledge of international shipping regulations, customs procedures, and INCO terms.
• Strong attention to detail and ability to work accurately under time constraints.
• Excellent communication and interpersonal skills to interact with diverse stakeholders.
• Proficient in using technology and software relevant to quoting and invoicing management.
• Problem-solving mindset and ability to adapt to changing industry dynamics.
• Strong organizational skills to manage multiple tasks and priorities effectively.
