Job Description

As the initial point of contact for WelbeHealth participants, visitors, and community partners, the Receptionist is responsible for the operation of the front desk, acting with the highest standards of professionalism, courtesy, and customer service. The Receptionist welcomes all participants, families, staff, and visitors by telephone and in person and facilitates communication between staff, participants and their families. The Receptionist provides additional clerical support as needed and collaborates effectively with colleagues and stakeholders to promote the WelbeHealth values, team culture and mission.

Duties and Responsibilities:

  • Greet and interact with participants, families, community partners, and visitors in a warm and courteous manner creating a welcoming environment.
  • Manage the WelbeHealth main phone including:
    • Answering the phone promptly and courteously.
    • Route calls appropriately.
    • Ensure phone coverage.
  • Manage front door including ensuring visitors sign in and out and participants do not elope.
  • Manage badge inventory and participant attendance:
    • Prepare and store all participant badges.
    • Ensure all participant arrivals are documented and they receive their badge.
    • Ensure all participants departures are documented and their badge is collected and stored.
  • Monitor and track current office supplies inventory and order supplies as needed.
  • Participate in emergency planning and maintain emergency preparedness binders and logs, as identified in the emergency preparedness policies and procedures, at the reception area.
  • Ensure the administration storage area, conference rooms and staff lounge areas are stocked, organized and tidy.
  • Oversee all mail service, including distribution of incoming mail and packages and preparing outbound mail.
  • Provide administrative support to the operations of the program by assisting with clerical duties as assigned by the supervisor.
  • Remain alert and update the supervisor or any member of the IDT promptly of any /concerns or noticeable changes with participants’ wellbeing.
  • Complete all required documentation in a timely and accurate manner.
  • Protect privacy and maintain confidentiality of all company procedures and information about team members, participants, and families.
  • Follow WelbeHealth policies and procedures and participate in any required Quality Improvement activities, staff training and meetings.
  • Communicate regularly with Supervisor and team regarding workload and priorities.
  • Timely completion of all mandated trainings and education.
  • Timely completion of all mandated occupational health screenings as needed.
  • Exercises flexibility in performing assignments as business needs evolve.
  • Other duties as assigned.

 

Education and Experience:

  • High School Diploma or Equivalency.
  • Minimum of two years’ experience in an office providing clerical support or as a receptionist.
  • Highly motivated, self-directed, able to execute tasks in a quickly changing environment and make sound decisions in emergency situations, strong customer service orientation.
  • Experience with Microsoft Office – Outlook and Word.
  • Ability to follow directions from supervisor and communicate needs effectively.

Medical Clearance:

Required that Team Members must have medical clearance for communicable diseases and up-to-date immunizations before having direct participant contact. Additional screening may be required as determined by the Medical Director and Human Resources Director in order to protect participants and the community from communicable disease outbreaks (e.g., COVID-19).


Wage base range for this role is $17 to $19/hr + Bonus + Equity. WelbeHealth offers competitive total rewards package that includes, 401k match, healthcare coverage and a broad range of other benefits.  Actual pay will be adjusted based on experience and other qualifications.
