The Receptionist is responsible for managing the main reception area and organizing front office operations, as well as providing excellent customer service to Klaviyo employees in the Boston Office. This role will work cross-functionally with IT, People Operations, Security & Trust, as well as most departments in the company.
Duties/Responsibilities:
- Responsible for managing the main reception area, mail room, swag store and organizing front desk operations.
- Greet employees in the Boston office, field inquiries from employees on questions or issues as they arise.
- Facilitate a seamless candidate, vendors, customer, and guest experience in the office.
- Act as the primary point of contact for coordination, registration and tracking of visitors and including the visitor calendar and enforce established check in procedures .
- Screen incoming calls
- Correspond daily with building to maintain a secure workspace and trouble shoot building access issues.
- Provide real time support with requests submitted to the Office Ops ticketing system.
- Responsible for enforcing and suggesting updates to office policies, procedures and safety standards (emergency evacuation plan, visitor registration, security, ADA/OSHA compliance, etc.)
- Act as a resource for teams during employee events, company meetings, lunch & learns, customer meet-ups, etc. and facilitate event coordination and set up as needed.
- Assist in maintaining the overall appearance, organization, and cleanliness of the owned areas of the office, including daily walkthroughs to ensure workstations, conference rooms and public spaces are clean and presentable.
- Assist in maintaining inventory and supply management of office supplies, cleaning supplies, bathroom supplies, PPE, etc.
- Maintain and stock company merchandise store.
- Assist in facilitating in-office food and beverage programs.
- Support projects relating to Office Experience, Security and Operations
- Receive, organize and distribute mail/packages.
- Assist in monitoring office utilization and usage metrics reporting.
- Be an ambassador of company culture and values. Be approachable, reliable and energetic.
Required Skills/Abilities:
- Comfortable working in person at the Boston Office daily.
- Ability to prioritize workload, follow through, and complete tasks in a timely manner.
- Strong organization and planning skills.
- Customer service oriented; outgoing and personable; polished approach with internal and external clients.
- Excellent verbal communication skills, with a preference for someone bi-lingual in Spanish and English
- Ability to work in a fast-paced environment with changing needs and requirements.
- Strong attention to detail, can learn quickly and understand big picture concepts.
Education and Experience:
- Prior office, facilities, or related experience.
- Prior customer service, administrative, or event management experience is a plus.
Physical Requirements:
- Prolonged periods of sitting at a desk and working on a computer.
- Ability to lift up to 20 Lbs.
