We’re Looking For A: Receptionist to support the front office operations and greet employees, vendors, and guests for our Woodland Hills headquarters and will play a pivotal role in facilitating day-to-day business concerns.

What You’ll Be Doing:

  • Manage the HQ reception area, greeting visitors, vendors and employees, which requires daily on-site presence. Manage deliveries from vendors. Answers calls/emails and refers any questions to appropriate team members. 
  • Adding/removing employees to/from Brivo security system and assign FOB keys. Run Brivo reports as needed for HR & Facilities. 
  • Ensure the reception area is kept neat and professional in appearance at all times. 
  • Release and/or accept computer equipment to employees. 
  • Assist HR with assembly and sending out of new hire welcome boxes, Product Gift Bags to interviewing candidates, build and ship Manager Training Program kits, and other miscellaneous tasks as needed.
  • Oversee monthly birthday card program & bi-weekly Shout Out program. 
  • Provide assistance to the Office Manager and CEO’s Executive Assistant with gathering & shipping products to employees. 
  • Handle incoming and outgoing mail, paying particular attention to high priority mail and alerting appropriate teams as appropriate.
  • Support different teams in the office with administrative projects as needed. 
  • Collaborate with and provide back-up support as needed to CEO’s Office Manager & Executive Assistant, Facilities Manager, Office Specialist and Office Coordinator.
  • Assist with the setup and breakdown of company catered lunches and various events.
  • Own the car washing vendor relationship and program.
  • Drop off and pick up mail at Postal Annex (walking distance from office).
  • Assist IT with the release and/or acceptance of company issued computer equipment in Front Office area.  
  • Help with various shipments via FedEx for multiple departments. 
  • Use personal vehicle for office errands on occasion.  Must have a valid CA drivers license, car insurance, and a clean driving record.
  • Other duties as assigned with the ability to work OT on occasion with manager approval.
  • Be able to properly use the intercom and camera systems successfully within the first week
  • Being familiar with security protocol within the first month
  • Establishing and facilitating a method of keeping track of visitors and vendors within the first two weeks 
  • Familiarizing with different team members who have frequent visitors within the first month
  • Establishing an organizational method for the front desk within first two weeks

  • Superb customer service skills and orientation
  • Great organizational skills with high attention to detail
  • Excellent written and verbal communication skills
  • Experience in answering and directing incoming phone calls in an office environment
  • Ability to multitask while remaining calm and collect
  • Ability to prioritize duties 
  • Must be a friendly, collaborative team player with the ability to work well with others
  • 2 years’ proven experience as a receptionist or office assistant  
  • Professional and pleasant demeanor
  • Strong communication skills
  • Punctuality is a must
  • Excellent time management skills and ability to both multi-task and prioritize work
  • Proficiency in Microsoft Office Suite and/or Google Suite
  • Attention to detail and problem-solving skills
  • High School Diploma or GED
  • Some college coursework, preferred

$17.31 - $23.08/hour, annual & monthly KPI bonus potential, depending upon experience
