Job Summar

You will support a fast-paced Human Resources team. Prepare to be busy because you’ll be performing a wide range of crucial and time-sensitive tasks, ranging from basic facilities duties running reports to answering team members’ questions to running our orientation. 

You will work autonomously and efficiently to ensure the end-to-end running of HR projects and operations. To succeed in this role, you should be familiar with using HR software and tools. Ultimately, you should be able to contribute to attaining specific goals and results of the HR department and the organization.  

Job Expectations:

  • Answer team member HR requests and questions or redirect correspondence to the appropriate contact on the team

  • Assist with new employee onboarding hiring processes, including new hire paperwork, review I-9s, and process E-Verify within timelines.

  • Liaise with managers, other departments, or functions (payroll, benefits, IT, etc.) as needed for onboarding/exiting.

  • Responsible for leading and updating New Hire Orientation 

  • Organize & maintain personnel records with confidentiality 

  • Keep an inventory of supply stock and communicate with the procurement team 

  • Act as the on-call person for vendors 

  • Maintain a relationship with the property management company as the on-site point of contact.

  • Manage and update job changes through Workday.

  • Manage exit paperwork and conduct exit interviews for terminating employees.

  • Receive mail and contact recipients of arrival.

  • Ship/receive items (equipment, returns) to new hires, other offices, vendors

  • Update CCTV slides 

  • Send out internal communications when necessary

  • Assist employees with RDP/VPN/log-in through troubleshooting 

  • Create and print (replacement) badges for employees, vendors, etc.

  • Support HR coordinating with SMEs to coordinate health fairs, flu shots, training, etc.

  • Manage and maintain various facility management tasks as needed

  • Contingent Worker updates and reporting

  • Operations updates and reporting 

  • Be a culture champion of the iHerb guiding principles

Knowledge, Skills, and Abilities:

   Required:  

  • Proven experience as an HR coordinator or relevant human resources/administrative position

  • Knowledge of human resources processes and best practices

  • Strong ability to use MS Office (MS Excel, MS PowerPoint, etc.)

  • Familiarity with social media

  • Outstanding communication and interpersonal skills

  • Ability to handle data with confidentiality

  • Good organizational and time management skills

  • A high degree of accuracy and attention to detail

  • Excellent organization skills and ability to multi-task

  • Equipment Knowledge:

  • Experience with Microsoft Office Suite (e.g., Word, Excel, PowerPoint, etc.)

  • Experience with Google Business Suite (e.g., Gmail, Drive, Docs, Sheets, Forms. etc.) preferred

  • Experience with HRIS systems

  • Experience Requirements: Generally requires 2 to 4 years in HR administration or a related field. 

    Education Requirements: Bachelor’s Degree Required.  An emphasis on Human Resources/Business Management is preferred.

    Judgment/Reasoning Ability:  Able to identify, troubleshoot, and resolve problems quickly using sound judgment, poise, and diplomacy.  Ability to use judgment and reasoning skills and determine when to escalate issues, as required, in a timely manner.

    Physical Demands:  The physical demands described here are representative of those that must be met by a Team Member to successfully perform the essential functions of this job.  While performing the duties of this job, the Team Member is regularly required to talk and hear. The Team Member is frequently required to sit, walk, climb stairs, use hands and fingers, bend, stoop, and reach with hands and arms.  Reaching above shoulder height, below the waist, or lifting as required to file documents or store materials throughout the work day.  The Team Member may occasionally lift or move office products and supplies up to 25 pounds. Proper lifting techniques are required.  Reasonable accommodations may be made to enable individuals with disabilities to perform essential functions.

     Work Environment:  The noise in the work environment is usually moderate.  Other factors are:

  • Hectic, fast-paced, with multi-level distractions

  • Professional yet casual work environment

  • Office / Warehouse environment

  • Ability to work extended hours as required
