The Receptionist/Administrative Assistant is on site five days a week and is responsible for handing the day-to-day office needs for the Boston, MA office. This includes a variety of responsibilities which include interacting with employees, visitors, and vendors. The Administrative Assistant will work under the direction of the Office Manager to support the needs of the client service professionals.

How You’ll Spend Your Time:Â
- Front Desk/Reception coverage:
- Answering phones
- Greeting clients
- Handling ingoing and outgoing mail
- Arranging for pick-up of: UPS, FedEx, and other couriers as requested/needed
- Managing and tracking reservations in training room, board room and conference room.Â
- Prepping and cleaning training room, board room, conference room and common areas
- Log and scan 1040 tax workpapers and create binders in file room/taxcaddy
- Stock conference rooms and kitchen daily
- Maintain reception area, water plants
- Assist Office Manager with ordering and managing all office supplies
- Maintaining postage machine -- system updates, add funds, meter readings, etc.
- Type/Formatting/Finalizing routine business correspondence
- Setting up/updating client information in Box, XCM and Practice Engine
- Assist partners with scheduling appointments and making travel arrangements
- Responsibilities include but are not limited to the items listed above
The Kinds of People We Want to Talk to:
- 1 - 2 years of administrative experience, preferably in a professional services work environment
- Strong customer service skills, ability to multitask in a fast-paced environment and work in a proactive manner
- Highly organized, detail oriented, ability to prioritize responsibilities and possess strong time management skills.
- Outstanding written and verbal communication and interpersonal skills.
- Resourceful and innovative problem-solving abilities.
- Proficient in Microsoft Office Suite
- Experience with Box, CCH Engagement and/or GoSystem a plus
Physical Requirements:
- Ability to perform on a constant basis: (over 60%)
- Keyboard/ten key
- Ability to perform on a frequent basis: (30 – 60%)
- Lift/carry up to 10 lbs
- Kneel, reach over shoulder or head, use step stool to place wall postings
