Receptionist/Office Assistant
Job Description
Skydance Media is looking for a multitasking superstar to join our corporate headquarters. This person will provide support to the VP, Facilities Operations and the internal office operations. Our ideal candidate is extremely service oriented, prioritizes time and tasks well, is a problem solver and acutely organized, and has a desire for a career in Operations. This person will be a self-starter that is able to learn new functions quickly and is great at following through with projects from start to finish.
Responsibilities
- Conduct operational tasks such as tracking office supply inventory, research operational solutions and vendors, meeting preparation, deliver mail/packages, and answer main phone line
- Welcome guests as the first impression of Skydance Media and notify appropriate parties of their arrival
- Reconcile Operations expenses every month, settling any discrepancies
- Assist support projects such as inter-office moves and coordination of special events
- Draft written communication, companywide emails, announcements, instructions, etc.
- Keep accurate records of office supplies and food and order as needed
- Order catering for company events such as employee birthdays and film/TV season release days
- Coordinate shipping and returning packages through USPS and FedEx
- When on-site, tour facility to ensure common areas (conference rooms, kitchens, supply & storage) are clean and organized
- Notify appropriate parties of any issues or concerns
- Coordinate obtaining facility access for new employees
- Work closely with HR and IT
- Other duties as assigned to assist operations or other support departments
- Ensure all employees have the tools they need to do their work in a comfortable and supportive environment
Requirements
- Minimum 1 year experience working as an assistant, administrator, receptionist, or coordinator (Experience working in Operations, Customer Service, Human Resources, Production or Information Technology preferred)
- Bachelor’s Degree preferred
- Driver’s license, working and insured vehicle
- Must be able to be on-site at least once per week
- Ability to lift up to 40lbs
- Service oriented, friendly, and a genuine concern for needs of the staff
- Willing to take on all tasks no matter how big or small they may seem
- Proficient in Microsoft Word, Outlook, Excel and Google Drive (Docs / Spreadsheet), familiarity with Canva or Photoshop
- Able to take direction and identify tasks that need attention
- Trustworthy with sensitive and confidential information
- Strong organizational, problem-solving and time-management skills
- Self-starter with high energy and able to learn new functions quickly
- Must have excellent communication skills, both verbal and written
The hourly rate range for this non-exempt position in Los Angeles is $20.00 – $21.00. The rate offered may vary based on the candidate’s location, qualifications, experience and relevant expertise, among other factors. The range indicated is for base salary only and does not reflect the total compensation package, including bonus, benefits, etc.Â
