The role
In this newly created role at SFM, the Records Retrieval Representative will support the Claims and Legal Departments with the collection of various types of records, such as medical records and employment data, to assist with the analysis and evaluation of workers' compensation claims. Your responsibilities involve following state and federal regulations concerning the process of requesting records, as well as internal policies and guidelines while requesting confidential information and medical records. You will drive the entire record gathering process, while getting direction from actual file handler. This is an entry leave job and hybrid work is offered, meaning some in office time is needed. What You Will Be Doing
- Request records as instructed by Claim Representatives and/or Legal staff for the purpose of defending a claim or legal file using various methods (fax, email, US Mail, or provider portal, etc.); records include, but are not limited to, medical records and diagnostic films, employment files, wage records, insurance files, records from the Department of Labor and Industry, etc.
- Documents and tracks record requests and receipt of those records utilizing the claims management system.
- Follows ups on outstanding requests to insure the timely receipt of records and makes appropriate notations in the claims management system. Monitors record portals and uploads new records into the claim management system.
- Reviews, approves/submits, or reconciles invoices for requested records using state regulations and internal policies and guidelines.
- Maintains internal database of medical Release of Information (ROI) departments for future requests.
What We'll Love About You
- Two-year degree preferred.
- Two or more years' experience working in administrative or professional environment. Experience working with the collection of records or similar field working with document management is preferred.
- Experience working with within a medical clinic, law office or insurance company is highly desirable.
- Strong customer service skills, and the ability to work well within a team environment and with a diverse group of people.
- Excellent verbal and written communication skills.
- Ability to take direction and navigate through multiple systems simultaneously.
- Good problem-solving skills.
- Detail-oriented with an eye for accuracy.
- Ability to work comfortably in a fast-paced, high-volume, customer-focused environment.
- Proficiency in Microsoft Office and Adobe.
- Knowledge working with medical record retrieval portals, preferred.
- Excellent communication and interpersonal skills.
- Extreme discretion in work and the ability to handle highly confidential information.
- Ability to organize and prioritize numerous tasks and complete them under time constraints.
- Strong time management skills
- Excellent problem-solving skills
- Must have a can-do attitude, be a self-starter and strong follow thru skills.
- Proficient in MS Office software applications (Excel, Word, etc.).
Physical Requirements
Regular attendance is required. Work takes place in a semi paperless environment within an in office or remote home office setting, using standard office equipment such as computers, phones, and photocopiers, which requires being stationary for extended periods of time.While performing the duties of this job, the employee is regularly required to talk or hear, and maintain concentration and focus. The employee frequently is required to stand; walk; use hands and fingers, handle or feel; and reach with hands and arms and work with close vision. This position requires the ability to occasionally lift office products and supplies, up to 20 pounds. Work is performed indoors with little to no exposure to extreme outdoor weather conditions.
