Recruiting Coordinator - Temp to Hire

This role will be based in our San Jose office and will be onsite 3-5 days/per week, as necessary.

Position Overview

We are looking for an organized and dedicated Recruiting Coordinator to support our hiring efforts as we scale our rapidly growing organization.  The Recruiting Coordinator will assist with the day-to-day operations of all interview coordination, as well as use their savvy people and customer care skills to ensure an incredible candidate experience. This person will be a reliable partner to the recruiters, hiring managers and candidates.  The ideal candidate must be a self-starter who can be a flexible and adapt quickly in a dynamic and ever-evolving environment. A strong candidate will be naturally friendly, a quick problem solver, a master at multi-tasking with precise follow-through, and a believer in delivering white-glove service to every candidate. 

Essential Job Functions and Responsibilities 

• Partner closely with recruiters to provide an excellent candidate experience throughout the recruitment process, from the first email introduction, throughout the interview process, to onboarding.
• Schedule and coordinate telephone, video, and in-person interviews utilizing Microsoft Outlook, Teams, Zoom.
• Make candidate travel arrangements, arrange lunches/snacks as necessary.
• Process all candidate reimbursements with strong sense of urgency.
• Greet candidates upon arrival with a welcoming spirit, which includes offering refreshments, guiding the candidate to the appropriate conference room(s), offering breaks as needed, making introductions/conducting tours, showing them our Tablo system, and providing the candidate with an agenda.
• Ensure the interviewing room is clean and appropriately stocked with water/snacks.
• Ensure the candidate is exited appropriately, either personally or via an assigned interviewer. Schedule Uber or ride, if necessary.
• Maintain a pro-active tempo, always staying one step ahead and solving problems as they arise.
• Assist with special events or projects as needed.

Required Qualifications

• Minimum of 2 years of recruiting coordination experience; strong office administration and/or customer service backgrounds will be considered.
• Must be a natural troubleshooter and demonstrate proactivity when issues arise.
• Must be friendly, approachable and demonstrate high level of customer service.
• Excellent verbal and written communication skills.
• Strong attention to detail and accuracy, and possess excellent time management and organizational skills, with ability to multi-task and meet deadlines.
• Able to function well autonomously and as a team member.
• Proficiency in Microsoft Office Suite.

Desired Qualifications

• Bachelor’s Degree preferred
• Proficiency with Applicant Tracking Systems strongly preferred; Greenhouse is a plus
• Tech savvy, comfortable communicating in all forums and learning new office tools, with a tendency to stay abreast of advances in technology and social media.
• Demonstrates interests in growing subject matter expertise and pursues development opportunities.
• Creative, with a strong desire to contribute ideas for improvement in process and experience.

The Hourly pay for this role will be:  $35/hr - $40/hr.*

The temporary worker in this role will be eligible for benefits as provided by our preferred payrolling agency.
