Position Summary

The Resource Coordinator is responsible for managing, administering, and organizing project resource related activities and developing and implementing a framework for improved resource utilization and management. This role will execute and streamline communication of resource needs and utilization.

Responsibilities

  • Proactively maintain and publish a dynamic schedule of project resource assignments.
  • Maintain resource register including proficiencies, location, and current assignments.
  • Provides required information for each resource to clients as needed for credentialing.
  • Ensures resources complete yearly credentialing requirements and provides clients with weekly reports on active resource credential statuses.
  • Plan and book travel for resources according to project needs.
  • Seek opportunities to contribute to the achievement of the company's initiatives, goals and priorities.
  • Provide reports on resource utilization, trends, anticipated volume and needs, and to ensure data accuracy in the scheduling system.
  • Work with functional managers to develop and improve prioritization process.
  • Manage ordering coordination of supplies required by each project.
  • Work with the Project Manager to understand all vital project dependencies.
  • Coordinate and attend meetings as necessary.
  • Compile and maintain project reports and meeting minutes.
  • Communicate relevant information to all team members, such as change in schedule dates and project requirements.
  • Coordinates and manages activities with vendors and suppliers while maintaining strong relationships.
  • Provide reports to validate resource's billable hours.
  • Complete all training as required.
  • Other duties as assigned.

Education & Requirements

  • Bachelor's Degree or at least 2-3 years of relevant work experience
  • At least 2 years of experience with pulling operational reports
  • Proficiency in MS Office and ability to learn new technology
  • Flexibility and Adaptability; willingness and ability to readily respond to changing circumstances and expectations
  • Strong sense of appreciation, enthusiasm, and passion
  • Superior conceptual thinking as well as analytical and problem-solving skills
  • Excellent communicator with strong attention to detail
  • Ability to thrive in fast pace, sometimes hectic environments
  • Team player able to work with diverse range of internal and external customers
  • Excellent time management skills and the ability to prioritize tasks
  • Ability to manage multiple activities at one time such as coordinating tasks, driving project milestones and project status reporting
  • Ability to demonstrate excellent time management, communication, and organizational skills to ensure tasks are completed on time
  • Familiarity with MS SharePoint preferred
  • An action and results oriented approach are essential in order to fulfill the responsibilities for this role
  • Ability to travel up to 15%
