Resource Coordinator

About the Role:
We’re Malka, the adaptive content studio creating stories at the speed of now for brands big and small. We do it differently, by harnessing the ingenuity of a creative agency, the resourcefulness of a production studio, and the ambition to master any technology. Malka is looking for a Resource Coordinator to join our team. The Resource Coordinator is an integral part of ensuring the Creative Services Department runs smoothly by ensuring we are resourced to create maximum efficiency and manage the talent needs of the company with agility.

Alongside the Senior Creative Resource Manager, you will serve as a liaison between Creative Discipline Leads, Account leads, Project Managers, and Production, to pair up the best talent with the appropriate project or task. You will diligently respond to resource requests, anticipate roadblocks, and swiftly problem solve any trafficking conflicts. You will develop new and innovative processes to strengthen the organization of the company and increase department and company-wide efficiency.

The Malka Resource Coordinator is an organized, inventive, and detail-oriented self-starter who has a passion for content creation, organizational systems, and most importantly, people. They analyze and evaluate project attributes, strategize the best makeup of a project team, and enthusiastically pair together the strongest creatives, empowering them to do their best work. The Resource Coordinator is flexible, being able to pivot when faced with curveballs in a fast-paced environment, with a solutions-first attitude. They are always thinking of new and improved ways to organize information and take initiative in building new processes.

On any given day, you might:

• Intake creative support requests for current/future agency projects and adeptly match them with the most suitable team member.
• Build a deep understanding of each creative team member’s skill set and interest to appropriately assign them to the ideal projects to keep them motivated, engaged, and growing within their role.
• Identify, manage and troubleshoot bandwidth issues within department, to ensure balanced workloads and sufficient coverage for all projects. 
• Effectively communicate across all departments, to act as liaison between creatives and Accounts/Project Management/Production.
• Maintain constant knowledge of current and upcoming projects as they relate to resourcing.
• Maintain the upkeep of existing workload management tools, documents, and databases, to ensure they are always up-to-date.
• Develop new organizational processes for Resource Management for department-wide and company-wide improvement.
• Foster and expand the freelance database of resources across multiple departments, inclusive of sourcing, outreach, and onboarding.
• Facilitate a cohesive onboarding experience for all freelancers, and provide them with the appropriate tools for contract work.

• Is highly organized and detail-oriented, and excels in implementation of systems and workflow management tools. 
• Can multi-task and prioritize large volumes of initiatives with confidence.
• Is solution oriented and thrives under pressure, to creatively problem solve and pivot with speed, when necessary.
• Takes initiative to bring new organizational tools and process ideas to the table, with and without prompt.
• Has strong communication skills, both written and verbal.
• Has exceptional interpersonal skills, necessary to interact with a range of personalities within all departments of the organization.

You have:

• 2+ years’ experience in resource coordination, project management, or production coordination.
• Agency experience is preferred.
• Excellent track record of system organization.
• Expert proficiency in Google Workspace.
• Experience with Asana, Monday, or comparable Project Management Software.
• Fundamental Design, Animation, and Film understanding is a plus.
