CommonBond Communities invites qualified applicants to apply for the Resource Development Associate position. The Resource Development Associate is responsible for multiple key functions related to database and systems management, gift processing, prospect research, and administrative support. This position reports to the Associate VP of Development Operations and works directly with team members of the department.

ESSENTIAL JOB FUNCTIONS AND ASSOCIATED TASKS

DATA AND SYSTEM COORDINATION - 50%

  • Create and update constituent records in Raiser's Edge
  • Perform gift entry
  • Create and mail gift acknowledgements in a timely fashion
  • Maintain acknowledgement letter archive and update letters as needed to reflect current needs and values
  • Serve as staff lead for reconciliation with accounting department for monthly/quarterly/year-end contributions
  • Lead annual audit process for Resource Development
  • Serve as backup to Database Administrator and work in concert with training and support issues

VOLUNTEER COORDINATION - 30%

  • Manage the Volgistics database for the volunteer program
  • Process volunteer background checks through Sterling
  • Respond to all requests for data regarding volunteer program in order to comply with organizational reporting needs such as quarterly and year-end reports
  • Support site staff with volunteer time tracking through Volgistics
  • Oversee smooth database systems management and integration between Raiser's Edge, Volgistics, Omatic Cloud, etc.
  • Maintain the volunteer inbox (responding to inquiries and directing people through the application process)
  • Partner with other Resource Development staff on prospecting volunteers as major gift donors
  • Maintain volunteer recruitment posts (Hands on Twin Cities, etc.)
  • Lead volunteer orientations one to two times per month during recruiting season
  • Conduct phone screens with potential volunteer candidates as needed

PROSPECT RESEARCH - 10%

  • Perform biographical, financial and charitable giving research on individual prospects utilizing Research Point and internet search strategies and electronic databases
  • Perform prospect management duties that include entering strategies, assignments, and coding into constituent records in the database; create queries and run prospect/gift reports
  • Generate donor briefings and maintain records archive
  • Manage, develop, implement, and coordinate methodologies for prospect research, criteria for analysis and review, procedures for written confidential research materials, systems for distribution of reports, retrieval and analysis of data
  • Remain abreast of industry standards as determined by American Prospect Research Association (APRA) or other industry leaders

DEPARTMENT SUPPORT - 10%

  • Open and process mail
  • Maintain inventory of supplies and print materials
  • Serve as staff lead for recertification processes including Charities Review Council, Guidestar, Charity Navigator and other regulatory bodies
  • Collect and maintain Raiser's Edge digital policies and procedures manual
  • Maintain organizational subscriptions and memberships (TCBiz Journal, USPS bulk mail account, Strib, DropBox, TC Business mag, etc)
  • Assist the CEO's Executive Assistant relative to Resource Development and board activities such as meeting set up, donor communication, briefings, etc.)
  • Maintain department printed publication archives
  • Provide support to team members as requested

MINIMUM REQUIREMENTS

  • Minimum three years relevant experience and/or training, or equivalent combination of education and experience in development services functions or office management experience focused on database usage and conducting prospect research.
  • Experience with Raiser's Edge or fundraising databases essential
  • If not Raiser's Edge, experience with Salesforce or another CRM required
  • Experience with Research Point preferred
  • If not Research Point, experience with iWave or WealthEngine required
  • Excellent organizational skills
  • Experience with Microsoft Office Suite programs, including Word, Outlook, Excel, and PowerPoint
  • Excellent attention to detail and ability to meet deadlines.
  • Highly organized, self-starter, problem-solving and analytical skills.
  • Ability to maintain absolute confidentiality
  • Must be able to set priorities, make decisions and work in a team
  • Proficient in speaking, reading and writing English
  • Flexibility to work occasional early mornings or evenings

OTHER SKILLS

  • Knowledge of Adobe Creative Suite beneficial

EDUCATION

  • Minimum high school diploma
  • Two years+ post-secondary education or equivalent experience preferred

PHYSICAL REQUIREMENTS

  • Ability to type data into a computer
