Job Description

Job Description: Resource Manager

Brace your career – you’re going beyond the science quo with Spectrum. We’re the full-service, health and science communications and media agency that’s out of this world. We’re fiercely independent and 100% science-focused so we can go where other “science-light” agencies can’t or won’t. Together with superhuman strategy, atomic creative, intermedia magic, interwoven ingenuity and indomitable innovation we dream beyond the realm of the possible – and do it.

At Spectrum, the Resource Manager will work closely with all Program Managers and Client Services Leads to effectively staff client projects, as well as track current workflow to ensure resources are properly allocated throughout the term of their assigned projects.

We are currently looking for a Resource Manager with a fondness for detail, a knack for protocol, and the motivation to advocate for change management (as needed) in order to achieve the topline goals. As Resource Management is an emerging discipline at Spectrum, the ideal candidate will be comfortable operating independently and have a desire to help shape tools, processes, and expectations.

If you love data (and some data entry), have an aptitude for reporting and forecasting, as well as enjoy networking, this is the role for you. This candidate will be entrepreneurial at their core, comfortable navigating ambiguity, confident in advocating for change management and, ideally, possesses a deep drive to achieve topline goals within the Resource Management function.

Job Responsibilities

  • Works closely with Program Managers and Operational Leads to staff new client business and projects
  • Regularly reviews all employee assignments to ensure both individuals and teams are tracking toward resourcing goals without going under or over outlined capacity
  • When freelance support is needed, works closely with Program Managers and/or Discipline Leads to identify and onboard appropriate outside support
  • Works closely with Finance to ensure timeliness and accuracy of timesheet input for freelancers
  • Understands and can advise on comprehensive estimates, project plans, SOWs, and change orders
  • Regularly reviews project schedules and work assignments in web-based project management software, including weekly and monthly resource projections
  • Cultivates positive relationships with internal partners
  • Maintains high-performing team dynamics through empathy, trust, communication, and collaboration
  • Clearly communicates prioritized daily tasks and manages prioritization conflicts appropriately
  • Monitors data entry into program management tool(s) to ensure end-user reliability
  • Works closely with department leaders to identify opportunities for improvement with regards to tools and processes, and effectively coaches and advocates for necessary change management

Desired Skills and Qualifications

  • Bachelor’s Degree
  • 2-4 years agency experience, specifically within healthcare communications, digital and/or creative
  • Self-motivated, disciplined, fast learner, organized
  • Experience in Resource Management preferred, otherwise experience with Project/Program Management within an agency setting required
  • Excellent communication skills
  • Strong attention to detail
  • Highly collaborative and solution-oriented with a flexible mindset that can adapt to changing environments

You choose where you work. We are a hybrid work environment with options to work in one of our four offices (Washington, DC, New York, Chicago, and Atlanta), remotely anywhere in the United States, or a combination.

Spectrum is an equal opportunity employer, and all qualified applicants will receive consideration for employment without regard to race, color, religion, sex, national origin, disability status, protected veteran status, or any other characteristic protected by law.
