Sale Creation Coordinator

THE ROLE

Support Wine and Spirits auction sales in accordance with company policies and best business practices. This role includes creation and maintenance of all Wine and Spirits sales globally that are published on Sothebys.com. This role is a temporary position with an expected 1 year duration.

RESPONSIBILITIES

• Coordinate Wine/Spirits auction calendar and prepare sale schedules for Specialists to meet their publish deadlines while working closely with the sale management team to meet deadlines
• Responsible for manually creating and adding all content to Wine/Spirits lot pages in Sotheby's Admin system for both online and live sales globally (sales can range from 100-1,000 lots, approximately 50-60 sales a year)
• Responsible for uploading all lot images
• Enter and maintain pricing information including estimates, reserves and starting bids
• Responsible for pricing changes for the entirety of a sales lifecycle
• Maintain and organize sale info (ex. keep track of most commonly used images that can be reused when similar lots are sold)

IDEAL EXPERIENCE & COMPETENCIES

• Bachelor’s Degree
• 1-2 years of experience
• Must be comfortable with heavy manual data entry work
• Strong administrative skills, attention to details, good problem-solving abilities and thorough follow up are required
• Ability to be proactive and meet tight deadlines even when working under own initiative
• Excellent organizational and communications skills; must be able to effectively handle and prioritize multiple tasks simultaneously while maintaining a professional manner
• Requires strong word processing and spreadsheet skills; will require facility with MS Word, and Excel (including use of pivot tables)
• Interest in wine/spirits preferred
• Technical/product background or experience preferred
• Knowledge of SAP a plus
