The Role

Overview:
As a Sales Admin Assistant, you will play a crucial role in supporting our sales team by generally assisting the sales admin and primarily managing Ulta sales reporting, item setup processes, and handling chargeback disputes. Your attention to detail, organizational skills, and ability to analyze data will contribute significantly to our operational efficiency and customer satisfaction.
Main Responsibilities:

  • Ulta Sales Reporting
    • Generate and maintain accurate sales reports for Ulta, ensuring data integrity and timely delivery.
    • Analyze sales trends, identify opportunities, and prepare summaries for management review.
    • Collaborate with the sales team to gather necessary data and insights for comprehensive reporting.
  • Item Setup
    • Manage the item setup process for new products, ensuring all required information is complete and accurate.
    • Coordinate with internal teams (e.g., product management, marketing) and external partners (e.g., Ulta representatives) to expedite item setup timelines.
    • Maintain item databases and ensure consistency across platforms.
  • Chargeback Disputes
    • Monitor and manage chargeback disputes with accuracy and attention to detail.
    • Investigate discrepancies, gather supporting documentation, and prepare dispute cases.
    • Communicate effectively with customers, internal stakeholders, and external partners to resolve disputes promptly.
  • Administrative Support
    • Provide administrative support to the sales team as needed, including scheduling meetings, preparing presentations, and managing correspondence.
    • Assist in maintaining CRM (Customer Relationship Management) systems and databases with updated information.

Qualifications:

  • Proven experience for atleast 2 years in a sales administration or similar role, preferably within the retail or consumer goods industry.
  • Strong proficiency in Microsoft Office Suite (Excel, Word, PowerPoint) and familiarity with CRM software.
  • Excellent analytical skills with the ability to interpret data and generate actionable insights.
  • Exceptional organizational and time-management skills, with the ability to prioritize tasks efficiently.
  • Effective communication skills, both verbal and written, to interact with internal teams and external partners.
  • Detail-oriented approach and a commitment to delivering high-quality work in a fast-paced environment.
  • Bachelor’s degree in Business Administration, Marketing, or a related field preferred.
