Reports To: Sales/Estimating & Accounting Management
The Sales & AR Coordinator facilities the smooth operation of revenue recognition and the internal sales processes. They will liaise between different departments to manage customer RFQ inquiries, organize and submit proposals, and process customer purchase orders.
The Sales & AR Coordinator ensures the company is responding in a timely manner to customers’ needs, tracking quotes and incoming purchase orders. Must be able to work closely with engineering, estimating, accounting and purchasing departments.
Duties
• Receive, review and track customer RFQ’s
• Manage data storage and file organization for the Company’s estimating activities
• Maintain the Quote Log to ensure all proper data is entered timely and accurately
• Manage all customer portals and be responsible for daily checking of RFQ requests and Purchase Orders
• Attend daily meetings and take a lead role in reviewing open RFQs and keeping the team on a successful track
• Submit quotes in a timely manner in the customer approved format and portal
• Match Purchase Orders to quoted pricing to ensure accuracy
• Works with production team by providing the customer timing for scheduling purposes
• Work with different departments to ensure all customer invoicing requirements are met prior to invoicing.
• Submit customer invoices
• Track AR Aging and follow up on past due invoices
• Must have strong Microsoft skills
• Must be very detailed
• Must have a strong sense of urgency
• Must have exceptional organizational skills
• Must be able to work independently with minimal supervision while coordinating and tracking information from different departments
• Perform other duties as assigned by Management
