Job Description
The Sales Assistant will support the sales team in coordinating account materials managing data and reporting and ensuring smooth day-to-day operations. This role works closely with key retail partners across multiple accounts and collaborates cross-functionally with Marketing and Operations. This is an excellent opportunity for a highly organized detail-oriented individual interested in building a career in publishing sales.
This is a hybrid role based in our office in Naperville Illinois and requires 2/3 days in office and is an non-exempt hourly position with a pay rate of $22.00./hourly. We determine starting pay based on a thorough evaluation of job-related factors including geographic location market conditions relevant experience training and education. This process ensures a fair and competitive salary that aligns with both the company and the candidate’s qualifications.
What You'll Do:
Sales & Meeting Support
- Prepare materials for key account meetings including presentations title submissions and ordering ARCs/samples.
- Facilitate meetings by running presentations taking notes and coordinating follow-ups.
- Support ongoing account needs including tracking submissions deadlines and next steps.
- Assist with additional sales projects and initiatives as needed
- Help improve organization and efficiency of sales materials and workflows
Materials & Asset Coordination
- Maintain and update sales materials and tracking documents including title grids and account-specific files.
- Coordinate samples and digital assets (covers interiors shipments).
- Partner with internal teams to track timelines and ensure timely delivery of materials.
- Upload and maintain assets across customer platforms.
Reporting & Data Management
- Compile sales reports and support basic analysis; distribute recurring reports (e.g. billing BookScan marketing updates).
- Enter and manage invoice data in internal systems.
- Maintain accuracy of sales data across internal tools.
ARC & Indie Channel Support
- Coordinate seasonal ARC lists and tracking in FileMaker.
- Manage ARC requests and distribution to accounts and sales reps.
- Upload and maintain Edelweiss materials.
- Track and fulfill swag requests tied to sales orders.
- Bachelor’s degree or equivalent experience in sales/office role.
- Exceptional organizational skills with an eye for detail adept at managing multiple tasks daily.
- Proactive and collaborative mindset passionate about books and contributing to team success.
- Excellent communication skills both verbal and written with a positive approach to problem solving.
- Proficient in Microsoft Office Suite (Word Excel PowerPoint)
- Familiarity with industry-specific tools and platforms such as Power BI FileMaker FileShare Dropbox NPD Edelweiss is a plus
