Sales Coordinator

DUTIES & RESPONSIBILITIES:

• Track / expedite key orders through the operations and supply-chain to ensure that delivery commitments are met or exceeded.
• Work closely with purchasing to ensure any specific job requirements are ordered in line with project / installation date requirements
• Point of contact for assigned standard / aftermarket orders that are going through the system and provide key stake holders with regular updates in conjunction with the existing order entry team
• Ensuring documents are sent to customers once made available via engineering or other departments and any documents that are returned are booked in and passed to relevant departments to approve
• Keep a record of all jobs out for approval and ensuring the customer is aware when these documents are late in returning
• Collating final documentation packs that are required to accompany standard orders
• Coordinate the setting up of bank guarantees and letters of credit, by ensuring all departments comments are consolidated before submission to the client
• Monitoring of live order process and systems to ensure order is flowing through the business and providing management reports / updated KPI's
• Ability to assist order entry team raising new orders as an when required
• Assist other departments within IPM as needed to support order processing, field service, mechanical engineering, procurement and engineering/design.
• Develop long-term relationships with customers and distributors through managing providing updates on orders.
• Manage workload to meet deadlines with minimal supervision. Monitor processes/tools to maintain schedules defined to meet order deadlines, contractual obligations and progress milestones.
• Define, implement and monitor entry/update/audit processes to ensure technical accuracy of equipment information in appropriate systems, technical accuracy of customer-delivered documentation, and conformance of equipment with contractual, classification, and functional requirements.
• Provide support on product and project matters involving certification requirements, global standards, and applicable international codes that govern our products and responsibilities to the customer.
• Travel as and when required
• Carry out other duties as and when business requirements dictate as may be reasonably expected by line manage
