This role will require working in the office 5 days/week.

Description Summary: The Sales & Marketing Administrative Assistant is responsible for owning and managing the sales and marketing components of M3’s Customer Relationship Management (CRM) system, coordination and management of tradeshows, maintaining and distributing marketing materials and overseeing various projects, as well as working closely with the Regional VPs of Sales, Marketing and Communications Director and EVP of Sales & Marketing  to maximize sales team productivity. Provide administrative support as requested and directed.

Essential Duties:

The duties listed below are the essential functions of this position, and they may change as the needs of the company demand. All associates are expected to do what is necessary to get the work done and to cooperate fully with their supervisor’s requests for additional or altered duties.

  • Work with marketing and sales personnel with daily Sales and Marketing duties, coordinating effort and project progress, including work with M3’s outside marketing and PR agency
  • Schedule appointments for product demonstrations in cooperation with the Sales team and Product Sales Specialists
  • Prepare sales call prep docs with pictures, bios and company information prior to sales calls
  • Assist the sales team in developing proposals for sales effort
  • Coordinate weekly and monthly sales team reports and prepare monthly consolidations for the Executive Vice President, Sales & Marketing
  • Assist in the coordination of conferences; personnel, exhibit booth and potentially travel
  • Become knowledgeable of M3’s new CRM solution (Microsoft Dynamics) to become proficient in assisting sales needs, developing and distributing requested statistics and reports, etc.
  • Gain working knowledge of ClickDimension (marketing application add-on to CRM) for newsletters, marketing campaigns, special e-blasts etc.
  • Provide marketing and sales data and materials to other leaders at M3
  • Provide administrative support to the group as needed
  • Assist in company events and meeting planning, set up and clean up
  • Other direct duties and responsibilities as directed or requested by the sales, marketing and communications team.

Education/Training/Experience:

  • 1-3 years of experience in a directly related position in a similar industry is preferred;
  • Completion of a Bachelors Degree is preferred. Strong preference for the completion of a major in Marketing, Communications, PR, Business or Management ; or an equivalent combination of education and experience.
  • Must have strong written and verbal skills in English and ability to communicate effectively, professionally and in a friendly and helpful manner.
  • Must have strong interpersonal skills and willingness to help as needed.
  • Must have knowledge of a variety of computer software applications in word processing, spreadsheets, database and presentation software (MSWord, Excel, Access, PowerPoint), as well as graphics software such as Publisher, Illustrator, PhotoShop, PageMaker; prior experience using CRM software preferred.

Physical Requirements:

  • Ability to sit and/or stand for extended periods.
  • Ability to bend and lift at least 25 pounds.
  • Ability to perform work on a computer or other office equipment for extended periods. 
  • Ability to communicate and exchange accurate information. 
  • Ability to move about inside the office to access file cabinets, office equipment, etc. 
  • Ability to travel in representing the company’s interests, if needed. 
  • Ability to attend work and meetings with excellent attendance and punctuality.  
  • This position requires the successful candidate to provide proof of completed COVID vaccination status by the first day of work.
