Job Description

The Scheduling Coordinator is responsible for scheduling Direct Support Professionals for assigned Program Directors and front-line leaders throughout multiple work locations. This includes creating schedules, contacting employees about their schedule, answering questions from employees regarding their schedules and managing shift changes. This position will interact with payroll as necessary about timecards. Our Scheduling Coordinator can work out of our South Bend or Portage office!Β 

Responsibilities include but are not limited to:

  • Manage and maintain schedules by filling open shifts, coordinating schedules to increase or decrease the amount of staffing as necessary.
  • Based on hours allocated for each location, work with the Program Director to develop a plan for coverage.
  • Coordinate employee schedules, including short notice changes due to illness, turnover, etc. to ensure locations are appropriately staffed with properly trained staff.
  • Communicate regularly with staff regarding staff assignments.
  • Create and maintain core schedules in the scheduling application.
  • Monitor OT worked per employee and make schedule changes as needed notifying employees involved of changes and your supervisor.
  • Review and edit employee timecards and changes in Kronos.
  • Reconcile timecard exceptions such as missed punches, late punches, early punches, etc. in accordance with Dungarvin policy.
  • Process approved schedule changes in communication with the Program Director.
  • Process PTO requests from staff.
  • Approve timecards timely at the close of each pay period.
  • Compare hours scheduled to actual hours worked.
  • Supervise all A-1 category employees
  • Ensure all vacant positions are posted with the recruiting department and posted on the vacancy report.
  • Follow disciplinary actions for employees as needed in consultation with supervisor and Human Resources department.
  • Provide coaching and development of direct reports.
  • Monitor conditions of employment ensuring that all employees are in compliance and suspensions are implemented per policy when such conditions are out of compliance.
  • Conduct performance evaluations at the completion of the 90-day orientation period, and annually thereafter.Β 
  • Create reports of approved schedules for completeness to ensure locations are properly staffed.
  • Maintain confidentiality of all staffing/employee information.
  • Demonstrate flexibility with own schedule to provide optimum coverage for the position.
  • Report any unusual staffing circumstances to the PD and/or Area Director.
  • Cooperate with program management staff and other Dungarvin employees and others in a tactful manner.
  • Maintain a positive attitude.
  • Seek ways to offer assistance to fellow staff.Β 
  • Offer constructive, positive solutions to problems.
  • May have to cover direct care shifts as needed.
Qualifications

  • High school diploma or GED certificate
  • Minimum of 2 years of experience coordinating employee schedules
  • Combination of education and experience may be considered in lieu of years of experience.
  • Excellent written and verbal communication skills
  • Strong computer skills to work in multiple systems, including but not limited to Microsoft Outlook, Kronos, Excel, Word & PowerPoint.
  • Excellent organizational, time management, and decision-making skills to set priorities and meet timelines.
  • Ability to accurately process information with confidence, flexibility, initiative, and self-directedness.
  • Ability to maturely deal with unexpected demands and incidents.
  • Excellent communication and interpersonal skills to work with all levels within the organization.
