Job Description
The Scheduling Coordinator manages, organizes, and schedules loan closings within our retail and wholesale channels. This position can be located in our Paramus or Houston office, be hybrid or remote.Â
Primary Job Duties:
- Scheduling Appointments: Coordinating and scheduling appointments for document signings with clients.
- Communication: Consulting with sales team, partners, and title companies to ensure all necessary documents are prepared and available.
- Record Keeping: Maintaining accurate records of all scheduled appointments and completed closings.
- Problem Solving: Addressing any scheduling conflicts or issues that arise and finding solutions to keep the process running smoothly.
- Compliance: Ensuring all scheduled activities comply with relevant regulations and company policies.
Responsibilities:
- Assign clear to close loans to a closer and send them any necessary emails.
- Upload documents to our POS system.
- Schedule loans with title companies.
- Alert preclosing QC regarding the closing dates of any files that are selected.
- Log clear to close (CTC) loans from the Closing inbox onto CTC Log.
- Check the final conditions emails for Platinum and Purchases. Log them and assign them to closers in advance.
- Fill out a Daily Operations Status Log with the previous day’s numbers for closings and CTC’s.
- Answer closing questions from partners, title companies and sales team.
Qualifications
- Precise diligence and the ability to multitask and work well under pressure
- Excellent communication, organizational, and customer service skills are necessary
- Skilled in related software applications (Internet Explorer, MS Outlook, MS Excel, and Word)
- Important level of integrity and trust
- Motivated collaborator with a cheerful outlook
- Scheduling experience a plus
