Job Description

Are you a task master that goes above and beyond the call of duty to provide excellent customer service? We are looking for a Scheduling Coordinator that will schedule production crews for efficiency, manage projects, communicate project plans with internal stakeholders/customers, and liase with our sales and leadership teams.

Qualifications:
As Scheduling Coordinator you will be responsible for:

  • Scheduling and Project Coordination
    • Meet or exceed goals for scheduling crews to capacity.
    • Review installation calendar and make decisions that increase efficiency and productivity.
    • End-to-end review of jobs to ensure all required tasks are completed (e.g. customer calls, proposal updates, invoice review, etc.)
    • Partner cross-functionally with accounting, sales, production, Thrasher sales, etc. to ensure data accuracy.
    • Build strong relationships with Branch Managers and Hello Garage leadership.

  • Customer Support
    • Follow up on reviews, Net Promoter Score (NPS) and cases to ensure customer satisfaction.
    • Share learning experiences with management team and individuals.
    • Answer questions and problem solve for customers.
    • Leads and participates in orientation and training as it relates to improving the customer experience.

  • System Support
    • Add or remove Customer Relationship Manager (CRM) system access.
    • CRM set up and maintenance of calendars, availability templates, zones, and zip codes.
    • Troubleshoot CRM issues (open tickets, reset passwords, coordinate resources for help)
    • Add or remove access for various user groups.

  • National Appointment Center:
    • Provide phone coverage as needed to ensure scorecard metrics are achieved.
    • Provide CRM support (report development, troubleshooting, etc) to National Appointment Center team.


Education and Experience

  • 5+ years relevant experience.
  • Strong project management skills.
  • Excellent verbal and written communication skills.
  • Ability to work collaboratively with cross-functional teams and external partners.
  • Strong problem-solving skills and the ability to adapt to changing circumstances.
  • Familiar with project management software.
