Security and Operations Coordinator
Job Description
Digital Cloak, LLC is seeking a multi-talented candidate to support both security and facility management functional areas. This position is in direct support to the Chief Risk Officer (CRO) and will assist with daily security and facility related duties. The contributing individual we are looking for will work well within team environments, must be detail oriented, exhibit flexibility to support various tasks, and have interest to grow within the realm of corporate security operations. The job will require the ability to work independently on tasks defined by the CRO. As a selected member of the Security, Capability and Preparedness (SCP) team, this position will be assisting with the effort to ensure compliance with all applicable federal, state, and local Government laws and verify corporate alignment with company policies and procedures. Much of this compliance will align directly to facility operations and assisting with the management of Digital Cloak's headquarters office space located in Stafford, VA.

Primary Job Functions
- Assist with the organization and scheduling of meetings to include classified meetings.
- Provide coverage and oversight of controlled access points.
- Maintain and process both facility and personnel security reports and records.
- Promote activities that enhance operational, security, and safety procedures.
- Assist the FSO with general administrative duties and help ensure the security, integrity, and confidentiality of data and information that may include but is not limited to the destruction of sensitive documents, handling sensitive and classified documents, and managing the visitor log and visit requests.
- Escort personnel, vendors, and visitors as needed.
- Develop and conduct security and compliance related education briefings.
- Conduct new employee security briefings and offboarding security debriefings.
- Support annual security self-inspections, Security Vulnerability Assessments, and Continuous Monitoring Engagements.
- Work with the Facility Manager on the development of Security, Preparedness, and Capability programs, policy, procedures, briefings, and documentation.
- Work with the Facility Manager in the planning and execution of corporate events as needed.
- Assist with conducting moderately complex internal SCP related audits.
- Provide support and assist in the preparation of documents and filings for compliance with rules, regulations, and laws of various local, state, federal, and international governmental agencies.
- Collect and collate information required from a wide variety of sources and perform research and analysis on supporting data and information for use in documents or sections of documents such as manuals, policy, procedures, and forms.
- Format, edit, and proofread documents or sections of documents such as manuals, policy, procedures, and forms. Check drafts for format, clarity, and overall cohesiveness. Ensure documents meet editorial and applicable specifications and adhere to standards for quality, graphics, coverage, format, and style.
- Assist with drafting and maintaining SCP operational and procedural documentation.
- Maintain facility checklists and conduct routine inspections.
- Work closely with the Facility Manager to develop, maintain, test, and execute the emergency action plan and OSHA related policy, procedures, and program maintenance.
- Provide expertise in basic emergency management, contingency planning, and continuity of operations planning.
- Understand and apply local, state, and federal emergency preparedness rules, regulations, and activities.
- Track and evaluate regulatory requirements relating to safety and emergency preparedness including exercises, drills, inspections, and training.
Required Knowledge, Skills, Abilities
- Excellent written and verbal communication skills.
- Ability to analyze challenges or problems and effectively develop and communicate potential solutions.
- Command of the English language, including the rules of composition, grammar, and punctuation.
- Proficiency in Microsoft Office or equivalent capabilities.
- Knowledge of office management skills and ability to multitask and prioritize work.
Preferred Knowledge, Skills, Abilities
- Knowledge of applicable federal, state, and local laws and regulations, guidelines issued by DHS, FEMA, EPA, OSHA, and directives such as Homeland Security Presidential Directives (HSPDs) related to emergency preparedness, infrastructure protection, and physical security at a level sufficient to manage the company-wide implementation of emergency preparedness policies, programs, and procedures.
Required Education, Certifications / Licenses, Related Experience
- Bachelor's degree from an accredited college in a related discipline or 4-6 years of professional experience in a related field in lieu of college degree.
- Minimum of 3 years of experience authoring and managing detailed documentation.
- Completed DCSA FSO training certificate or obtain it within 90 days of hire.
- Completed Occupational Safety and Health Administration (OSHA) 30 Hour General Industry Certification or obtain it within 90 days of hire.
Preferred Education, Certifications / Licenses, Related Experience
- Prior experience, 4-6 years, as an Office Manager, Security Manager, or Emergency Manager.
- Minimum of 4 years of professional experience in a related field.
- Experience developing and implementing Standard Operating Procedures (SOPs) and Emergency Action Plans.
- Experience writing policy and procedures.
- Experience Managing to a budget.
Physical Job Requirements
- This position requires the ability to remain in a stationary position (standing and/or seated) more than half the time.
- This position requires the ability to spend most working hours viewing electronic displays.
Clearance Requirements
- Candidate must be a US Citizen.
- Candidate must be able to obtain and maintain an active Secret clearance.
Primary Work Location(s)
- This position is onsite at DCHQ at 800 Corporate Drive Suite 421, Stafford, VA.
- Must be in person daily at DCHQ, Stafford, VA.
Travel Requirements
- This position may have up to 10% travel requirements. Primary travel will be within the Northern Virginia region.
Other Duties
- This position operates in a professional office environment and routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets, and fax machines.
